Learn how to manage invoices in Rechargly by adding custom charges, creating new charges when no invoice exist, or voiding and resending invoices. This guide provides step-by-step instructions for each scenario to ensure accurate billing and seamless client communication.
1. Add custom charge to existing invoice
Follow this flow when there is an existing invoice that requires a custom charge.
Steps to follow:
Navigate to the Invoices page and locate the invoice you want to modify.
Click Add Charge and enter the vendor details (e.g., name, amount, discount, and billing period).
Review the invoice
Choose to either schedule the updated invoice for the next batch or send it immediately.
2. Create a custom charge when an invoice hasn’t been created
Follow this flow when no invoices have been created for the customer.
Steps to follow:
Navigate to the Agreements page.
Click Add Charge and enter the vendor details (e.g., name, amount, discount, and billing period).
Review the invoice
Choose to either schedule the updated invoice for the next batch or send it immediately.
3. Void and resend invoice
Follow these steps if an invoice has already been generated but needs adjustments.
Steps to follow:
Go to the Invoices page and locate the invoice to void.
Click Void Invoice and select whether to exclude or keep the associated charges.
Add a custom charge by following either scenario 1 or 2 above.
Return to the Invoices page, review the updated invoice, and click the blue Send Now button.
Confirm the relevant billing information to reissue the invoice.
