Learn how to manage invoices in Rechargly by adding custom charges, creating new charges when no invoice exists, or voiding and resending invoices. This guide covers each scenario step by step.
Where to find Add Charge
Add Charge appears in two places, depending on whether the client already has an invoice.
Invoices page: use this when the client already has a Draft or Scheduled invoice you want to add a charge to.
Agreements page: use this when the client has no invoice yet. Adding the charge here creates the invoice for you.
If you cannot see Add Charge on the Agreements page, the client does not have an agreement set up yet. Create the client and set up their agreement first, then Add Charge will appear.
Add a custom charge to an existing invoice
Follow this when the client already has an invoice.
Go to the Invoices page and find the invoice you want to change.
Click Add Charge and enter the vendor details (name, amount, discount and billing period).
Review the invoice.
Schedule it for the next batch or send it now.
Add a custom credit
Go to the Invoices page and find the invoice you want to change.
Click Add Charge and enter the vendor details.
Put a minus (-) in front of the amount so it is a negative value.
Confirm the charge. The negative amount appears on the invoice.
Create a charge or credit when no invoice exists
Follow this when the client has no invoice yet.
Go to the Agreements page and find the client.
Click Add Charge and enter the vendor details.
Review the invoice that is created.
Schedule it for the next batch or send it now.
To apply a credit instead, make the charge negative.
If the client has no invoice and no agreement, Add Charge will not appear. Create the client and set up their agreement first, then add the charge from the agreement.
Void and resend an invoice
Follow this when an invoice has already been generated but needs adjusting.
Go to the Invoices page and find the invoice to void.
Click Void Invoice and choose whether to exclude or keep the charges.
Add a custom charge using the steps above.
Return to the Invoices page, review the invoice and click Send Now.
Confirm the billing details to reissue the invoice.
