How to Manually Add Members in Bulk

When you need to bring in a group of new members at once - a corporate group enrollment, members from another system, or sign-ups collected on paper - you don’t have to create each record by hand. The Mass Update / Import Tool lets you upload a CSV file and create many member records at once, then preview the results before anything is saved.

This guide walks through the full process: opening the tool, preparing your file, previewing your import, and confirming the results.

BEFORE YOU BEGIN

You’ll need the MembershipTypeID value for each membership type you’re assigning, along with the name and date of birth for every member you plan to add, plus access to the Junk Drawer area of Daxko Core. If you don’t see the Junk Drawer option in your profile menu, contact your system administrator to have it enabled.

For your first import, start with a small batch of five to ten rows.

Open the Junk Drawer

Select your user profile in the upper-right corner of the screen, then choose Junk Drawer from the dropdown menu.

Open the Mass Update / Import Tool

On the Junk Drawer page, select Mass update / import tool.

Choose the Add Members Update Type

Open the Select Update Type dropdown and choose Add Members. Choosing the update type first is important - it tells the tool how to read your file and displays the matching CSV requirements on screen.

Prepare your CSV file

Build a spreadsheet with one row for each member you want to create, then save it as a .csv file. Column headers go in the first row.

MEMBERSHIP TYPE ID MUST BE A NUMBER

Enter the numeric ID for the membership type - not its name. If you’re not sure which number maps to which membership type, check with your system administrator or pull the values from a membership report before building your file.

Optional Columns

Include any that you have data for and leave out the rest - there’s no need to add empty columns to your file. They’re grouped below for readability; the tool doesn’t require any particular order.

Tips for a clean file

  • Spell the column headers exactly as shown, including capitalization.

  • Leave out any columns the tool doesn’t list — extra columns can cause the import to fail.

  • Remove blank rows at the bottom of the file before saving.

  • Check for members who already exist in Daxko Core before importing, so you don’t create duplicate records.

  • If your spreadsheet reformats dates automatically, set date columns to plain text before saving.

  • Save your source spreadsheet. If you need to correct or re-run the import, you’ll want the original.

Upload File and Preview

Confirm that Add Members is still selected under Select Update Type. Then, under Choose CSV File to Upload, select Choose File and pick the CSV you just saved.

Leave Simulate Results (View Preview before final submit) selected, then choose Preview Process. The tool will check your file without saving changes, allowing you to fix any issues before submitting.

Review and Submit

Compare the preview results against the members you intended to create. Before you complete the final submission, confirm the following:

  • Names — first and last names are spelled correctly and landed in

  • the right columns.

  • Membership type — each member is assigned the membership type you expected.

  • Date of birth — dates read correctly and haven’t been shifted or reformatted by your spreadsheet.

  • Optional fields — any contact, address, or profile values you included are populated on the right records.

  • Row count — the number of members in the preview matches the number of rows in your file.

Resolve any issues the preview reports before completing the final submission. If something looks wrong, correct your CSV and run the preview again. NOTE: There’s no limit on how many times you can preview a file.

IMPORT CAREFULLY

This tool creates real member records that appear in search, reporting, and membership counts. Because bulk imports are difficult to undo, treat the preview as your safety check.

Troubleshooting

Issue: The Junk Drawer option isn’t in my profile menu.

Resolution: This area is permission-based. Contact your organization’s Daxko Core administrator to request access.

Issue: My file won’t upload or the preview returns errors

Resolution: Work through these in order:

  • Confirm the file is saved as .csv, not .xlsx.

  • Check the header row for typos, extra spaces, or renamed columns.

  • Verify all four required columns are present in every row.

  • Confirm MembershipTypeID contains a number rather than a membership type name.

  • Remove any columns that aren’t listed in the on-screen requirements.

  • Delete trailing blank rows.

Issue: Dates of birth imported incorrectly

Resolution: Spreadsheet applications often reformat date columns on save. Set your date columns to plain text, re-save the file, and run the preview again to confirm the values read correctly.

Issue: The import created duplicate members

Resolution: This tool adds new records rather than matching existing ones, so members already in Daxko Core will be created a second time. Contact Daxko Support with the details of the import - the members affected and the file you uploaded - to have the duplicates cleaned up.

Issue: I imported members by mistake

Resolution: Contact Daxko Support with the details of the import: the membership types involved, the members affected, and the file you uploaded. Having your original CSV on hand will speed up the correction.
