Salesforce Integration - Create a draft inspection when a Salesforce Record is Updated
Salesforce is the industry leader in Customer Relationship Management (CRM) software. Integrations between Salesforce and Record360 are a common request, and Zapier makes connecting the two simple and easy. Let’s say you want to create a draft inspection in Record360 every time a certain record is updated in Salesforce, such as a new unit entering inventory, a change to a customer record, or opening a contract.
Setup
From the Zapier dashboard home screen, click create new Zap https://zapier.com/app/zaps
Search for and select Salesforce from the trigger search bar.
There are a number of available events in the Salesforce Zap - in this case we’re going to choose “Updated Field on Record”.
Click “continue”
From here, you’ll be prompted to log in to Salesfoce. Simply use your login credentials to authenticate.
Next, you’ll need to choose which field in Salesforce will trigger the Zap. You’ll be prompted to choose the Salesforce Object, Field, and potentially other items, depending on the selected field. When you’re ready, press “continue”. Here is an example.
Click “test trigger”
Click “continue with selected record”
From the action search dropdown, search for and select Record360.
From the Event dropdown, choose “Create Draft”. Record360 has three different create draft actions available depending on what you are trying to do, which you can find above. In this example, we’re going to use “Create Draft at Selected Location”.
From here, you’ll be prompted to log in to Record360. Simply use your Record360 username and password to authenticate
Next, complete some required fields on the create draft action. Since this is a draft, we’ll set “Is this a draft?” to “true”. Then, set the location where you’d like to create the draft, choose the workflow in the selected location, and set a field for the Unit Reference Number, which will be the number that the user will enter in the mobile app to open the draft and start the inspection. Here, we’re using a field from Salesforce as the Unit Reference Number.

From here, you’ll need to test your action, to make sure it’s working properly.
If the test is successful, you’re ready to publish your Zap! Once you publish, drafts will be created automatically in Record360 when your relevant records in Salesforce are updated.
