Schedule a return inspection when the check out is completed
It’s critical that a return inspection is performed when your units come off rent, so you can review the condition of the asset, and compare that against the condition when the unit went out on rent. The easiest way to ensure that inspections are completed on time is to schedule them ahead of time with tasks. Here’s a step by step guide on how to set that up with Zapier.
Setup
From the Zapier dashboard home screen, click create new Zap https://zapier.com/app/zaps
Search for and select Record360 from the trigger search bar.
Select Inspection Created from the Event dropdown
Click “continue”
From here, you’ll be prompted to log in to Record360. Simply use your Record360 username and password to authenticate
Click “test trigger”
Click “continue with selected record”
From your Zap, click the + icon to add a new step.
From the right hand side, click “Filter”
From the filter dropdowns, set your conditions. In this example, we’re only going to send triggers when the inspection is a check out. Next, press “continue”.
From the action search dropdown, search for and select Record360.
From the Event dropdown, select “Create Task” and press “continue”.
From the Action step, you’ll be prompted to select some fields. Here, we’re setting the task name, description, unit number, priority, and leaving the assignee blank so any user can pick up the task. The due date is set from the return date specified in the inspection. When you’re ready, press “continue”.
From here, you’ll need to test your action, to make sure it’s working properly.
If the test is successful, you’re ready to publish your Zap! Once you publish, return tasks will be created automatically when check out inspections are completed by your team.
