Redlist allows users to set up notification logic based on specific form submission answers. This notification logic can be set up either conditionally or statically. Conditional notification logic is used when notifications need to be sent based on specific answers to a question. To send a notification from a form, first go to the form builder and find the question to configure the notification logic on.
Setting Up Conditional Notification Logic:
To set up a notification to be sent conditionally, follow these steps:
Step 1: Select "When" in the "Setup when a notification should be created" dropdown
Step 2: Select the question that the task is dependent on in the "Question" dropdown
Step 3: Set when a notification should be sent
To send a notification when a specific answer is selected, choose "Any of the following answers (specified below)" in the "Answered with" dropdown, and then select the options that will send a notification in the "Please select the answer(s) that when selected will make this item create a notification" section
To send a notification when no answer is selected, set the "Answered with" dropdown to "No answer (question is left unanswered/blank)"
Setting Up Static Notification Logic:
To set up a notification to always send, follow these steps:
Step 1: Select "Always" in the "Setup when a notification should be created" dropdown
Configuring Notification Send Settings
Selected in Dropdown Question:
This option allows users to select specific users that they would like to receive a notification when the conditions are met for the notification to be sent.
Employee Roles to Notify:
Users can select an Employee Role to notify. By configuring this setting, any user with the selected employee role will receive a notification when conditions are met for the notification to be sent.
Additional Email Addresses:
Add email addresses for any person that needs to receive a notification that is not a user in your Redlist account.
Send Email:
This will send an email notification when logic conditions are met.
Send Form as Attachment:
This option sends a PDF copy of the report created when the form is submitted, showing all the information captured in the form.
Note - this checkbox is only available after checking the "Send Email" checkbox.
Send Text:
This option sends a text message notification when logic conditions are met.
Notification Subject:
This will be the subject for any email and text message notifications.
Send Submission Notifications Only Once:
Sends a notification only the first time conditional logic is met.
