How to use the accounts tab to create, view, map, edit and delete accounts

When you first enter the account tab you will see a set of radio buttons to select your view. The view defaults to Unmapped Accounts.

Account View Selection

For each view, new accounts will be shown with a yellow border. Any fields needing to be completed will be show with a red border.

Book accounts only need to be mapped ONCE! The only mapping required in subsequent years will be for NEW book accounts


Account Views

  • All Accounts: All accounts for a given file.

  • New Accounts: Accounts that are new in the current year. If accounts were imported, it may have already been mapped. If not, you will need to map them manually.

  • Unmapped Accounts: Accounts that have one or more fields needing to be completed.

Map Accounts

Each row has a dropdown to select the account mapping.

  • The dropdown lists the Tax Line (Cash, Supplies, etc.) followed by the Tax Type (Asset Expense, etc.).

  • The list is ordered by Asset, Liability, Equity, Income, Expense.

  • You can search the list by typing any part of the Tax Line or Tax Type.

  • All "Other" accounts are at the end of the dropdown (Other Deductions, Other Assets, etc.). These account types require a Sub Account Name. If you select one of these accounts, it will place a red border around the Sub Account Name field until it is populated.

    • Sub Account Name field is required for "Other" account types
  • Similarly, if an 8825 or Sch. F account is chosen, the corresponding field will be outlined in red until it is populated.


Add Accounts

You are able to add an account using the "Add Account" button located at the top of the screen. This will open the Add Account dialog box, where you will add the account details.

Similar to the accounts grid, if you select an "Other", 8825, or Sch. F account, the corresponding field will become required.


Delete Accounts

You are able to delete accounts using the red button on the right side of the accounts grid. When you begin to delete an account, you will see a confirmation popup.

If the account you are attempting to delete has journal entries associated with it you will not be able to delete the account until the journal entries are deleted or the account is removed from the journal entries.


Bulk Actions

Current bulk actions include:

  • Update Account Mapping

  • Update Sub Account

  • Update 8825 Name

  • Update Sch. F Name

There are certain actions you can perform on multiple accounts at once. To do so, select the accounts you wish to change using the checkboxes on the far left, then go to the Actions menu just above the Save Changes button.

This will launch the Update Accounts dialog, which will allow you to update the selected field for the selected accounts.
