Inviting and managing your managers

Invite your managers with a code, choose their permissions, set up a kitchen display and follow their actions in your stores.

The Managers page (Users menu) gathers the people who run your stores day to day from the XPRIO Pro app: they drive the Live (orders, deliveries, service pauses) on a tablet or a phone, with the permissions you grant them. This is also where you set up a kitchen display.

As with drivers, you do not create the account on the person's behalf: you generate an invitation code, the manager installs the app, creates their account and enters that code. They pick their own password.

Inviting a manager

Click Invite a manager. The form starts with the invitation type: Manager (a team member with their own account and permissions) or Kitchen display (KDS) (an account dedicated to the device that shows orders to prepare, described below). Then:

  • Stores: tick the store(s) this manager will have access to. At least one is required.

  • Permissions (optional): tick what the manager will be allowed to do on top of everyday order handling. You can change them at any time from their profile.

  • Manager email (optional): if you fill it in, the code, the download link, a QR code and the list of their permissions are emailed automatically, in the language you choose.

  • Note (optional): a reminder for you, for example "Evening manager, in charge at weekends".

  • Code validity: 7 days or 30 days.

Click Generate invitation code: the code appears in the form MGR-XXXXXX, with a Copy code button. A manager code cannot be used to create a driver account, and the other way round.

Permissions

A manager always has access to the Live of their stores: they see orders, move them forward, handle deliveries. Permissions unlock additional actions in the app:

  • Adjust order prices: the "Adjust price" action on an order.

  • Refund online payments: the "Refund" action for orders paid by card online.

  • Manage out of stock: mark a product unavailable, or available again.

  • View menu schedule: view the menu schedule and availability from the Live.

  • Manage temporary closures: temporarily close a store and reopen it.

  • Invite drivers: generate driver invitation codes from the app.

  • Manage driver schedules: edit the hours of the drivers in their stores (viewing stays open to everyone).

Without a permission, the matching action simply does not appear in the app. A change of permissions is applied in real time: a connected manager sees a "Your permissions have been updated" message. As the administrator, you hold every permission.

On the manager's side

  1. Download the XPRIO Pro app from the App Store or Google Play.

  2. Create an account choosing the Manager role (name, email, phone, password).

  3. Enter the invitation code to join your company.

They then land on the Live of your stores. From their profile, they can check My schedule, edit their details and change their password. If you enable Team self-service schedule in your Settings, they can also edit their own hours.

The kitchen display (KDS)

The kitchen display is an impersonal account, meant for a tablet standing in the kitchen: it only shows orders to prepare, in three columns (to prepare, in preparation, ready), and stays locked on that screen, with no history, delivery or settings.

To set it up, choose Kitchen display (KDS) when inviting (permissions disappear, they serve no purpose here), then, on the tablet: install the app, choose Manager at sign-up and create the display's account with an email and password specific to the device, then enter the code. Two rules to know: a kitchen account must be created at sign-up (an existing account cannot use a kitchen code), and an account's type cannot be changed afterwards.

In the list, these accounts carry the Kitchen display badge. Since the screen is locked, it is from its profile, in the admin, that you can edit the device's name, email or password.

Tracking invitations

The Pending invitations tab lists every code with its stores, note, email and permissions (or the Kitchen display badge), status (Pending, Accepted, Expired, Cancelled) and expiry date. While an invitation is pending, you can Resend email (if an email was entered) or Cancel invitation, which makes the code unusable right away. An expired or cancelled code cannot be reactivated: generate a new one.

The manager profile

The Active managers tab shows, for each manager, their contact details, the number of permissions granted (hover over the badge to see the list), their stores and status. A manager with no store is flagged with a warning badge. Click the eye icon to open their profile:

  • General info: contact details, language, verified email and creation date. Two blocks are editable here: Assigned stores (Add button, cross to remove; to move a manager to another store, add the new one, then remove the old one; the manager is emailed at every change) and Permissions (Edit button).

  • Schedule: their weekly hours per store, in local time, plus one-off absences and changes.

  • Documents: the files they uploaded from their app, read-only.

  • History: the actions they performed in your stores (see below).

  • Settings: the Block and Delete actions.

The action history

The Manager Action History button at the top of the page traces who did what, when and in which store: service paused and resumed, menu update, product out of stock and back in stock, temporary closure and reopening, team schedule change. Filter by dates, by manager (your own administrator actions appear there too) and by action type. The same history, limited to one person, sits in the History tab of their profile.

Blocking, removing, restoring

These actions only affect the manager's access to your company: their account is never destroyed.

  • Delete removes the manager from your team. They are notified by email, and you will find them in the Inactive managers tab, from where you can Restore them.

  • Block goes further: besides removing access, it prevents any new invitation of that person, by email or code, until you Unblock them. No email is sent.

For a kitchen display, blocking or deleting logs the device out immediately. If a manager deletes their own account from the app, they appear with the Account deleted badge and can no longer be restored.

Good practices

  • Give each person only the permissions they need: refunds and price adjustments touch your till, closures and out-of-stock items touch your menu.

  • One kitchen display per tablet, with an explicit note ("Kitchen tablet, main screen") to find them easily.

  • Enter the email when inviting: the manager receives the code, the link and their permissions, and you can resend the email in one click.
