Managing your customers

Customer list, profile, loyalty points, blocking, archiving and creating a customer yourself.

Written by XPRIO

The Customers page (Users menu, administrator account only) lists every customer with an account at your business: those who signed up from your app or ordering site, and those you created yourself. Orders placed as a guest, without an account, do not appear here.

The list

For each customer: photo, name, email and phone, the Loyal badge (given automatically from 5 orders or 200 spent), their loyalty points shown with your programme's token (as a total, or detailed per store if your points are separate per store), the number of orders, the total spent and the date of the last order, the status and the creation date.

Search covers name, email and phone; the Status filter separates Active, Archived and Blocked; the Orders, Total and Date columns sort. As elsewhere, the view (filters, page, open profile) is in the page address.

The customer profile

The View button opens the profile in three tabs:

  • General Info: contact details, language, four key figures (orders, total, loyalty points, last order), the addresses saved by the customer (read-only, with the default address and delivery instructions), marketing consent and preferred store.

  • Orders: their complete order history, with the same filters as the Orders page, and each order's details.

  • Settings: the Block, Archive and Delete actions.

Blocking, archiving, deleting

  • Block prevents the customer from logging in to your app and site: they can no longer order with their account (they get an invalid credentials message). Reversible with Unblock. Their ongoing orders are not affected.

  • Archive removes them from the active list while keeping them visible with the Archived badge; Unarchive at any time.

  • Delete makes them disappear from the interface; their order history is kept for your statistics. If you later create a customer with the same email again, their account is restored rather than duplicated.

From the list, the bin icon opens the Archive Customer window: by default it archives; tick Delete permanently to delete.

Creating a customer yourself

The Create Customer button asks for first name, last name, email, phone (optional) and preferred language (pre-filled with yours). Careful: as soon as you confirm, an email is sent automatically to the customer, in your colours, with their login email and a temporary password, and an "Order now" button to your ordering page. They can log in immediately and are invited to change their password. Only use this for a customer who is expecting it.

If the email is already used by an archived customer, unarchive them rather than creating a new one.
