With a connected till, an order placed in your app or on your website lands on your till within seconds, marked as paid when it was paid online, and goes to the kitchen like an order taken at the counter. An item sold out on the till disappears from your app within minutes. Your XPRIO menu stays yours: the till is linked to it, never forced into it.
What to know before you start
One till per store. Each XPRIO store connects to a single point of sale of your till. Several stores: as many connections.
These are your credentials. You connect your own till account (token, key or installation of the XPRIO app, depending on the till). XPRIO pays nothing and charges nothing for the connection; if your till provider charges for an option, it bills you directly. The details are written on each provider card.
Tills available today: Square. The other cards marked "Coming soon" (Clover, Zelty, SumUp POS Pro, Lightspeed) have a We'll let you know button: click it and we write to you as soon as it opens. If your till is not listed, the block Is your till not listed? sends it to us; we look into the integration and get back to you by email.
Nothing happens behind your back. Every link between an XPRIO item and a till item is either set by one simple, visible rule (the XPRIO PLU equal to the till SKU) or chosen by you. Matching items between XPRIO and my till
Everything is digital. Connection, testing and follow-up happen from your admin, in about half an hour for a forty-item menu. Our support answers in writing, weekends included.
Step 1: connect the till
In XPRIO, left menu, open App Configuration then Point of sale (POS).
At the top, choose the store to connect. The provider cards available in its country appear below.
On your till's card, click Connect. The window reminds you, step by step, where to find what the till asks for: an access token at Square, an installation of the XPRIO app at Clover, a key at Zelty. Each till has its own guide. Connect Square to XPRIO
Test mode: if your provider offers a test environment (Square, Clover), the Test mode (sandbox) switch lets you try everything without touching your real till. Real orders require production mode.
Paste your credentials and click Save and test. XPRIO connects and asks you to choose your point of sale when your account has several, then click Activate.
The card turns Active, XPRIO reads the till's catalogue once, then keeps it up to date every hour. Your credentials are encrypted and never shown again.
Step 2: get your menu and your till to agree
A single Next step box guides you, depending on your situation:
Your menu is not in XPRIO yet: one button imports the till's items into XPRIO, with a preview before anything is created. You can also prefer to enter your menu yourself in Products.
Your till is empty: one button sends your XPRIO menu to the till, PLUs as SKUs, and everything is linked at once. For a till with no write API, you download an import file to load in its back office.
Both are filled: the box says "N items to link" and takes you to the matching screen, where whatever shares the same PLU is already linked and the rest is suggested to you or chosen by you.
How these three cases work in detail, with what the import creates and does not create, is in the dedicated article. Matching items between XPRIO and my till
Step 3: send a test order
When everything is linked, the box offers Send a test order. It appears on your till within seconds, titled "XPRIO" with a note flagging it as a test. Check that it prints where you expect it. As soon as the first order has gone through, the box disappears and the card becomes a status card: point of sale, last order sent, last sync, linked items.
Connection settings
Under the connection status, three settings:
Send orders to the till: every new XPRIO order goes automatically. Untick to pause sending without disconnecting, for instance while you reorganise your menu.
Sync stock-outs: an item sold out on the till becomes unavailable in XPRIO, checked every five minutes. On tills that allow it, a stock-out set in XPRIO is reflected on the till too.
On-site payment (cash, card on delivery or at the counter): Mark as paid when sent, the order arrives already paid on the till and you take the customer's payment without re-entering it; or Let the till collect, the order arrives unpaid and you charge it on the till itself. Some tills only display an order once it is paid: XPRIO tells you, and offers only the first choice.
Day to day
Every order paid online goes to the till the moment it is confirmed, with its lines, variants, options, discounts and the customer's note. The till recalculates its total; if it does not land exactly on the XPRIO amount, an "XPRIO adjustment" line aligns the two.
The Latest sends block lists each send with its status, the reference on the till side and, on failure, the message returned by the till. A Retry button resends a failed one.
A till outage never blocks an order. The XPRIO order is taken and shown in Live as usual; XPRIO retries the send several times over an hour, then notifies your managers if the till still does not answer. Running your service with the Live
Cancellations and refunds: when you cancel or refund in XPRIO, the till is told when it allows it. Square mirrors the exact refunded amount; other tills only receive a note and you confirm on the till. Each till's article states its behaviour.
Frequently asked questions
Does my till keep working as usual? Yes. XPRIO only adds orders to it and reads its catalogue. Your counter sales, reports and settings do not change.
What happens if an item in the order is not linked? On tills that accept it, it goes as a free line with its name and price; otherwise the send fails with a clear message and the XPRIO order stays intact. The matching screen shows what is left to link.
Can I switch tills? Yes: Disconnect button on the card, then connect the new one. Item links belong to each connection.
Two stores with the same menu and the same till? Connect each store's till. Items link by PLU on the second connection, and the Next step box offers to attach the existing products to the second store, without recreating anything.
