πŸ› οΈ How to Manually Book a Customer

  1. πŸ‘€ Go to Contacts and find or create the customer
    Start in the Contacts tab and search for the customer.
    If they don’t exist, click Add Contact and enter:

    • First name

    • Last name

    • Email

    • Phone number
      Then click Save.

  2. πŸ“… Create a new rental appointment
    Open the contact, go to the Appointments tab, and click Add β†’ Rental Appointment.

  3. πŸš› Enter rental details

    • Select the trailer

    • Set the start date and time

    • Set the end date and time
      The system will automatically calculate pricing for you.

  4. πŸ’΅ Review pricing and totals
    The system will show:

    • Rental cost

    • Taxes

    • Total amount due

    • Security deposit (if applicable)

  5. πŸ”„ Choose booking status

    • Booked: Starts automated messages immediately (pickup info, agreement, etc.)

    • Unconfirmed: Waits until payment is made before sending anything

  6. πŸ’Ύ Save the appointment
    Click Save to create the booking.

  7. πŸ’³ Send the invoice to the customer
    Go to the Payments tab β†’ Invoices & Estimates.
    Find the new invoice, click the three dots β†’ Edit in new tab, then click Resend to send via email and text.

  8. βœ… Confirm booking after payment (if Unconfirmed)
    If you set the booking to Unconfirmed:

    • Go back to Calendars (set to Rentals)

    • Open the appointment and click the pencil icon

    • Confirm payment shows as Paid

    • Click Confirm Booking to start automations

    • Save changes

πŸ’‘ Pro Tip
If you want automations (like pickup instructions and reminders) to send right away, set the booking to Booked. If you prefer to wait until payment is completed, use Unconfirmed and manually confirm it after payment to trigger everything at the correct time.
