🧩 How to Customize Messages for Individual Trailers

  1. πŸ€– Go to the Automation tab
    Navigate to Automation inside your CRM.

  2. πŸ”“ Request Automation access if needed
    If you do not see the Automation tab, contact RentFlow Support and request access to be enabled.

  3. πŸ“‚ Open the customer booking workflow
    Go to:
    ​Customer Booked β†’ Units β†’ App and SMS Notifications

  4. βœ… Verify the workflow status
    Make sure the workflow you want to edit is marked as Published.
    Some systems may only have App Notifications or SMS Notifications enabled.

  5. πŸš› Select the trailer workflow you want to customize
    Open the workflow for the specific trailer you want to edit.

  6. πŸ“© Find the customer message containing the address
    Scroll down until you find the booking success message, such as:

    • SMS Book Success

    • Or the equivalent email/app notification step

  7. πŸ“ Replace the Rental Location custom value
    If the message currently uses:

    • Custom Values β†’ Rental Location

    And this trailer is stored at a different address, remove that custom value and manually type the correct address for this specific trailer.

  8. πŸ“‹ Paste as plain text
    Use Control + Shift + V when pasting addresses or text to avoid formatting issues.

  9. ✏️ Add additional trailer-specific information (optional)
    You can also customize messages with:

    • Gate codes

    • Ball size requirements

    • Pickup instructions

    • Special notes

  10. 🏷️ Use additional custom values if desired
    You can create new custom values under:
    ​Settings β†’ Custom Values
    Then insert those values into your messages.

  11. πŸ’Ύ Save all changes
    Click Save Action, then Save again to publish your updates.

πŸ’‘ Pro Tip
Customizing workflows per trailer is especially useful if your units are stored at different pickup locations or require different instructions. Just remember that any manually entered address in a workflow overrides the default Rental Location custom value for that specific message only.
