How does my PMS sync to RentEngine?

Overview

RentEngine syncs your active listings directly from your Property Management System (PMS). This keeps pricing, availability, and marketing content consistent across systems and reduces manual updates.

This article explains how the sync works, how to enable it, and what to expect after connection.


Supported PMS

RentEngine supports real-time sync with the following PMS:

  • AppFolio

  • Buildium

  • Rentvine

  • PropertyWare

  • Rent Manager

  • DoorLoop

You can connect your PMS to RentEngine in Settings > Company

Note: Please make sure you have "Post to Website" enabled for all available properties in your PMS. This is required for the sync to run.


How the PMS sync works

During onboarding, we will sync your PMS to RentEngine. From that point forward, the sync will:

  • Pull active listings from your PMS

  • Keeps pricing and availability up to date

  • Uses your PMS as the source of truth

Note: Published changes in your PMS will update to RentEngine every 10 minutes.


New Listings

When you mark a new property as available in your PMS, the following data will flow to RentEngine so you can activate the property for showings:

  • Address

  • Property type

  • Bedrooms

  • Bathrooms

  • Square footage

  • Year built

  • Move-in date

  • Price

  • Marketing title (if supported by your PMS)

  • Marketing description

  • Parking

  • Laundry

  • Utilities included

  • Pet policy

  • Amenities

  • Photos

  • Virtual tour link

  • Application link

Your new listing will appear in RentEngine as "Incomplete". To activate it, click Take Action > Edit Property and follow the on-screen instructions.

Note: Please make sure internet syndication is turned off in your PMS (e.g. Post to Internet, Zillow, etc.)


Updated Listings

For active properties, the following data will sync in real-time from your PMS to RentEngine:

  • Price

  • Photos

  • Marketing description

To update this information, please do so in your PMS and not in RentEngine. That will ensure that the data stays consistent in both places.

For all other information, make the updates in RentEngine


Taking a property off the market

If your PMS is connected to RentEngine, you will deactivate properties from your PMS.

Simply mark it off-market or leased in your PMS.

Then, RentEngine will:

  • Deactivate the listing

  • Turn off marketing syndication

  • Notify active leads and redirect them to your other available homes

No additional action is required in RentEngine.


Best practices

  • Make pricing, photo, and marketing description changes in your PMS

  • Avoid editing the same fields in multiple systems

  • Activate the property in RentEngine as soon as possible

  • Allow listing sites time to refresh after adding/editing a property


Why is a new property not syncing from my PMS to RentEngine?

  • Confirm it’s "Posted to Website" (or equivalent) in your PMS

  • Allow at least 10 minutes (and up to 20 minutes) after making the update in your PMS

  • For new properties, check that they were not previously archived in RentEngine

    • Filter for Archived in the Properties tab of RentEngine

    • If archived, click Take Action > Unarchive

    • This will then move the property to incomplete so you can activate it in RentEngine
