Creating and scheduling your Prep Lists

Overview:

Set up your Prep Lists, so your employees will be completely autonomous in the kitchen and will know exactly what food and beverage ingredients need to be prepared to par for any given day when you're not around.

Preps should be viewed as a procedural list for ensuring that your kitchen and/or bar is ready for daily kitchen and bar service. Your team will need to make sure that you have enough of all ready to go ingredients so you can service your customers for any given day.

For example, a burger restaurant must make sure it has enough prepared buns, meat patties, sliced lettuce and tomato, bottles of sauce, and packaging, etc., daily.

Please Note: Prep lists can be only created and edited by managers and above (see Inviting Team Members for roles and permissions).

Creating your Prep Lists

  1. In the left toolbar, head to WorkDay > Prep Lists.

  2. In the top right-hand corner click the "New Prep" button.

  3. Enter the title of the Prep list and select all the department(s) responsible for its completion.

  4. If the Prep list is recurring, select the days and time you'd like it to appear on MyDay and also the cut-off time for when you'd like the Prep list to be completed (managers will be notified 15 minutes before the cut-off).

  5. On each line, either select a Prep Recipe (under more options) or type in the name of the prep item, then select the prepped unit of measurement (UOM), and lastly set a par level (minimum prep amount) for each selected day.

    • If the item you've entered is actually a title for the list or a set of prep recipes, click "more options" and then "change to title". You can then create the individual prep line items below this.

    • By entering the quantities, you're setting the optimal stock level for each item you'd like to prep on each day.

    • Please note: This isn't how much you'd like to Prep each day, rather it's the total amount you'd like to have after completing the Prep list and including existing stock on hand.

  6. Attach recipes by clicking "more options" below the item name, and then "add recipe", and/or "add instructions" for how you'd like the Prep to be completed. Additionally, you can add a photo, video link, or file link to each of the items.

    • When adding a file, this must be stored on a cloud source like Google Drive, Sharepoint, Dropbox. Make sure that the link being shared is set to public.


Preview your Prep list:

Once you have completed building your prep list, click Preview to see your staffs view of the checklist. From here, you can Launch in MyDay to take it for a spin.

Please note: When completing prep lists, your staff will access them from MyDay.


Will a prep lists impact my stock levels?

No, we do not decrement your stock when you complete a Prep List.

Prep Lists are currently designed to automate your prep processes but not for inventory tracking purposes.

The stock check or stocktake of prepped items is only indicative, and intended alongside par level to give you a view of how much you need to prepare ahead of service. Entering values here will have no impact on your overall live inventory levels.

In any case, if you'd like to count Prep Recipes in your Master Stocktake, it is worth toggling on stock checks for Prep Recipes at your Master Stocktake settings.


πŸ’‘ Pro Tip #1: Prep lists are most efficient when assigned to relevant department as needed (e.g. Hot kitchen, Salad bar, Frying station etc).

πŸ’‘ Pro Tip #2: All Prep Recipes can be attached to Prep lists to ensure the recipes are easily accessible.

πŸ’‘ Pro Tip #3: Add photos to your instructions! These will really help give your team more context and avoid confusion.
