How to Plan Minutes in the Therapy Planner

This guide helps you navigate and plan minutes for all disciplines in your facility on one page!

Prerequisites Before Planning Therapy:

Before you begin therapy planning for a patient, ensure that the following steps are completed:

  • Open Episode of Care (EoC): Make sure that the patient’s episode of care is open.

  • Patient is ACTIVE

  • Certification Thur Date has NOT passed.

  • Completed Evaluations: Ensure that the patient’s evaluation has been completed.

Step 1: Navigate to the Therapy Planning Feature

  • Access the Therapy Planning Tab:
    Go to the left-hand menu under "Scheduling" and select "Therapy Planning" to access the therapy planner.


Step 2: Select Your Patient

  • Choose a Patient from the List:
    Once you’re in the Therapy Planner, click the dropdown menu to view all patients with completed evaluations. Select the patient you wish to start therapy planning for.


Step 3: Complete the MDS Assessment (if needed)

If you need to complete an MDS Assessment for insurance purposes, follow these steps:

  1. Go to the MDS Assessment tab.

  2. Click the "Create New MDS Assessment" button.

  3. Choose the assessment type from the dropdown menu.

  4. Complete the required assessment fields.

  5. Click "View Additional Assessments" to see any closed EoCs and their assessments.


Step 4: Plan Therapy Minutes

  • Plan Therapy Minutes by Clicking:

    • Click on the minutes box for the desired discipline (PT, OT, SLP) and type in the planned minutes. Your changes are saved automatically.

  • Use Arrows to Navigate:
    You can easily move from one box to the next by using the arrows on your keyboard, allowing you to plan therapy minutes without taking your hands off the keyboard.

Step 5: Use the Copy and Paste function or refer to the Therapy Templates Guide above to apply preset templates.

  • Enable the Copy and Paste Function:

    1. Open the Therapy Planning tab.

    2. When prompted by your browser, click “Allow” to enable the copy-and-paste function within the planner.

  • How to Copy and Paste Therapy Minutes:

    1. Use the Week Picker to move from one week to another.

    2. Click the three dots next to the current week’s end.

    3. Select Copy and then navigate to the following week.

    4. Select the three dots in the new week and choose Paste to copy the minutes over.


Step 6: Track Therapy Progress with the 9-Day Window

  • View a Full 9-Day Window:
    The upgraded planner allows you to view and plan therapy sessions for a 9-day period at once, improving your workflow.

  • Red and Blue Bars Indicate Frequency Limits:

    • Red Bar: Indicates the week where the frequency exceeds the allowed limit.

    • Blue Bar: Indicates when the frequency is within the allowed limit.


Step 7: Jump to Key Sections

  • Jump to the Start of the Episode of Care:
    You can quickly jump to the start of the Episode of Care by clicking the "Jump to Start of EOC" button farthest to the left in the navigation panel, allowing you to review or begin therapy planning from day one.

  • Flexible Navigation:

    Dependent on your preference, navigate the planner day by day, by 9 day window's, OR select a specific date using the calendar picker!

  • Switch Between Patients:
    You can easily switch between patients by clicking the patient’s name from the dropdown, without losing your place in the planner.
