Overview and Usage

Synopsis

The ReturnLogic Collector module is the second stage of the ReturnLogic workflow. Collector is utilized after the Return Merchandise Authorization (RMA) has been created by the shopper, shipped, and received by the retailer or 3PL. Collector allows for rapid identification and verification of the return items and improves the efficiency and accuracy of returns processing. The following is an overview of the components of the Collector module and the specifics of operation for given cases.

Overview

The Collector module consists of two core components: the RMA list or overview and RMA processing. An example of the RMA list can be seen below:

The RMA list provides a consolidated view of all RMAs currently in the system as well as different filters by which to search the RMAs. Scanning the barcode on the RMA packing slip or clicking on a single RMA will navigate the user to the RMA processing page for that RMA.

The RMA processing page provides the tools to verify and annotate the RMA items as they are received. The information provided in this step allows those users responsible for processing the RMA to understand if and how the return amount should be applied in the ReturnLogic Originate module. This information includes the acquisition status of the item(s), disposition status and any comments that can be added regarding the item(s). Return dispositions are customizable in the ReturnLogic Collector Settings page for users that have been granted an administrative role in the system.

Scenario 1 – RMA Packing Slip Included with Return Package

When an RMA is generated using the ReturnLogic system, a packing slip is generated for the customer to include with the return parcel. This packing slip includes information such as the order number, RMA number, details of the items being returned and scannable bar codes to help accelerate the collection process. The barcodes are generated using the Code 39 barcode standard and are scannable by most off the shelf bar code scanners.

An example of the packing slip can be seen below:

When the packing slip is included with the return parcel an RMA can be processed in Collector via the following steps:

  1. Retrieve the packing slip from return parcel.

  2. Ensure the Barcode Scan input is selected. This is selected by default when first navigating the Collector page.

  3. Using the hand-held scanner, scan the first barcode above the RMA designation.

5. You will be taken to the appropriate RMA in the RMA processing page.

6. Review the items that have been returned to determine the appropriate disposition that should be applied to the item.

7. Select the correct disposition in the drop-down list adjacent to the “Barcode Scan” label. 

8. Once a disposition is selected, the barcode input will become active. Click the input to active it.

9. Scan the appropriate item barcode on the packing slip for each item that you wish to acquire and resolve as the selected disposition.

10. The items will be designated as acquired and their disposition set to that of the selected disposition.

11. When all items have been designated as acquired, the RMA status will be updated as “Received” and ready for processing in the ReturnLogic Originate module.


Scenario 2 – RMA Packing Slip NOT Included with Return Package

In instances where the packing slip is not included with the return parcel, the shipping label can be used to identify the correct RMA which can then be processed manually in the Collector module.

 The return shipping label includes both order number and RMA number at the bottom of the label as seen below:

When the packing slip is not included with the return parcel an RMA can be processed in Collector via the following steps:

  1. Retrieve the order number from the shipping label.

  2. Using the “Order #” filter, input the order number from the shipping label. The system will suggest possible order numbers that match the input.

4. Select the matching order number from the suggestions provided. The RMA list will be filtered to display only the RMA for this order number. Select the correct RMA# from the orders listed.

5. Click the RMA link to navigate to the RMA processing page.

6. Review the items that have been returned to determine the appropriate disposition that should be applied to the item.

7. Select the correct disposition in the drop-down list in the item listing. 

8. You may also leave a disposition comment describing any defects or problems with the return item.

9. Once the disposition has been set the Acquire button will become active. Click the Acquire button to designate the item as acquired.

10. The item will be designated as acquired and their disposition set to that of the selected disposition.

11. When all items have been designated as acquired, the RMA status will be updated to “Received” and ready for processing in the ReturnLogic Originate module.
