Purpose

Automated email notifications ensure seamless communication with your customers, keeping them informed and engaged throughout the buyback process. This guide walks you through the setup and customization of email notifications in your Reusely account.


Key Features

  • Default Sender Address

    • Customize the email address customers see on all outgoing notifications.

    • Add SPF records to authenticate emails and improve deliverability.

    • Verify and reverify sender addresses to reduce the risk of emails landing in spam.

  • Customer Notifications

    • View, edit, and customize automated customer emails for different purchasing methods.

    • Control subject lines, senders, triggers, and message content.

    • Use dynamic fields such as {:offer-total}, {:offer-date}, and {:customer-email} to personalize emails.

    • Preview notifications before saving to ensure correct formatting and content.

  • General Email Settings

    • Centralize all essential notifications including auto-accept confirmations, login links, invoices, and reminders.

    • Customize up to 3 auto-accept reminders with flexible timing (hours or days).

    • Fully edit and preview email templates before sending.

  • Staff Notifications

    • Keep your internal team informed of offer activities for Mail-In, In-Store, and Easy Offer submissions.

    • Edit and preview staff-facing notifications to ensure clarity and relevance.


Before You Begin

  • Ensure you have admin access to Settings > Notification Settings.

  • Verify that your sender email address is authenticated (SPF and domain verification) to improve deliverability.

  • Understand the difference between email notifications and workflow notifications (see the Workflow Notifications article for details).

  • Familiarize yourself with available dynamic fields and shortcodes to personalize messages (e.g., {:offer-id}, {:offer-total}, {:customer-name}).

Understanding Email Notifications

Email notifications are automatically triggered emails sent to customers after a buyback offer is created. These notifications keep your customers updated with essential information about their transactions.

Sections of the Email Notifications Settings Page

1. Default Sender Address

The sender address is the first signal of trust in an email. Reusely offers a few simple, but important customization options in this area:

  1. Choose a Sender Email
    You can define the email address customers see when they receive your messages (e.g., Tester23@hiu.co).

    Click 'Edit Email'
  2. Reusely's Automatic Formatting
    To improve deliverability, Reusely appends "sell" after the @, transforming the address into something like tester@sell.hiu.co.

    Click 'To ensure a high deliverability rate, we will add 'sell.' after the @ in your default sender address under the 'From' field in outgoing emails. For example, if your default sender address is...'
  3. Configure SPF Records
    Add Reusely’s suggested SPF record —
    v=spf1 include:_spf.google.com include:mail.reusely.com ~all — to authenticate your emails.

  4. Verify Your Email Address

    Once your sender email is verified (e.g., shown as Tester24@hiu.coVerified), it’s ready to be used with full permissions.

    This is the "from" email address customers will see on all outgoing notifications.

  5. Reverify Email Address

    if you ever want to reverify the email, just click this button. Once you do, you'll see this notification pop up right away

Email Verification Instructions:

Verify your email to improve delivery rates and avoid emails landing in spam folders.

  • Follow the instructions provided to add the TXT and MX records to your domain settings.

  • Allow up to 24 hours for verification after hitting the "Verify" button.

  • Tip: Involve your IT team or contact support if you need assistance.

2. Customer Notifications

  • Access Notification Settings
    Go to the Email Customization section, then open Notification Settings.

  • Select Offer Type
    Choose from

    • Mail-In Offers

      Click 'Active'
    • In-Store Offers

      Click 'In-Store'
    • Bulk Quotes

      Click 'Bulk Quote'

    • Easy Offer flows.

      Click 'Easy Offer'
  • Enable or Disable Notifications
    Use the toggle to turn each email type on or off.

    Click 'Active'
  • Edit an Email Template

    • Click the desired email type (e.g., Auto-Accept Offer Confirmation).

      Click 'edit Edit'
    • Change the BCC, subject, and body text.

      Click 'chevron_leftEdit Notification Save Changes'
    • Use the shortcode list for personalization.

    • Preview your changes before saving.

  • Set Reminders (If Applicable)

    • For Cart Recovery and Recovery Emails, configure up to 3 reminders.

    • Choose delay time in minutes, hours, or days.

  • Customize Payout-Based Review Requests

    • Go to the Review Email section.

      Click 'edit'
    • Set timing based on payout methods (Digital Payments, Bank Transfers, Cash, Manual Payments, Other).

      Click '1Set Trigger'
    • Enter your review page link.

    • Customize layout, subject, and body.

    • Add BCC if internal copies are needed.

    • Enable logo if desired.

  • Save & Final Check

    • Review formatting, tone, and links.

Dynamic Codes:

In both methods, include dynamic variable to customize notifications. Examples:

  • {:offer-id}: Displays the buyback number.

  • {:offer-total}: Shows the total amount of the buyback offer.

3. General

1: Navigate to General Email Settings

  1. From your Reusely dashboard, go to Settings.

  2. Click Notification Settings and scroll down to the General Notification section.

    Click 'General'
  3. This section is the central hub for all essential customer notifications, including auto-accept confirmations, portal login links, invoice notifications, and reminders.

2: Edit Auto-Accept Confirmation Email

  1. Locate the Auto-Accept Confirmation email.

    Click 'General'
  2. Click Edit or Preview to update the message before it’s sent out.

    Click 'edit Edit'
  3. Customize the BCC, subject, and body text to match your brand voice.

    Click 'TitleEmailBCCSubject'
  4. Use available shortcodes to dynamically insert key information such as the auto-accept expiration time.

    Click 'Description'
  5. Click Save and preview the email to ensure it looks correct.

    Click 'Your revised offer has been automatically accepted by the system and updated from Testing Status Old to Testing Status New because no action was taken by you on our revised offer within the allowed...'

3: Customize Customer Portal Login Email

  1. Find the Customer Portal Login Link email template.

    Click 'General'
  2. Click Edit or Preview.

    Click 'edit Edit'
  3. Update the subject line and body text as needed.

    Click 'TitleEmailSubject'
  4. Use shortcodes to dynamically include the portal login link.

    Click 'Code'
  5. Save and preview the email to confirm changes.

    Click 'Here’s your requested email link to log in to your IT2 customer portal.'

Customer Portal Login Link:

  • Sends an email containing a login link to the Customer Portal.

  • Ensures customers can quickly access their buyback details and track their transactions.

4: Update Invoice Notification Email

  1. Go to the Invoice Notification email.

    Click 'General'
  2. Edit and preview the template.

    Click 'edit Edit'
  3. Update the BCC, subject line, and body content.

    Click 'TitleEmailBCCSubject'
  4. Insert shortcodes for invoice totals, item lists, and other details.

    Click 'Description'
  5. Save and preview to finalize.

5: Configure Auto-Accept Reminder Emails

  1. Scroll to the Auto-Accept Reminder email section.

    Click 'General'
  2. Customize the content to remind customers that their offer will be auto-accepted soon if they take no action.

    Click 'edit Edit'
  3. Add up to 3 reminders, each with your chosen time delay (by hour or day).

  • Sends an email containing a login link to the Customer Portal.

  • Ensures customers can quickly access their buyback details and track their transactions.

4. Staff Notifications

Keep your internal team updated with customizable offer notifications.

  1. Display Current Templates
    View the pre-set templates for staff notifications related to Mail-In, In-Store, and Easy Offer submissions.

  2. Edit for Team Needs
    Customize the subject line and message content to better match your internal workflows.

  3. Preview Internal Emails
