How to Create Custom Visibility for Scholarships, Awards, and Grants

Custom visibility allows you to automatically match applicants to the scholarships, awards, or grants they best qualify for based on their responses within the form. This ensures each applicant only sees and applies for the opportunities relevant to them.

Step 1: Set Up the Eligibility and Information Pages

  1. Navigate to the Forms page and click Edit.

  2. The first page of your form should be an Eligibility Check to ensure applicants meet the general requirements for your program.

  3. The second page should be for Ineligible Applicants.

    • This page will display only to users who do not meet the eligibility criteria from the first page.

    • Include a message letting them know they are not eligible to continue and provide any relevant contact or resource links.

    • If you’d like to prevent ineligible applicants from proceeding further, reach out to the Reviewr team to enable the “Hide-Next” feature, which removes the “Next” button from this page.

  4. The third page should collect Personal and Contact Information.

    • This page should gather information you need from all applicants, regardless of which category they qualify for or ultimately apply to.

    • Common fields include name, email, phone number, mailing address, or other general background details.

Step 2: Create the “Matching” Page

The next page of your form will act as the matching page. This page includes all questions used to determine which specific scholarships, awards, or grants each applicant qualifies for.

These are qualification criteria for your specific categories. Some categories may require certain criteria to be met, while others may be open to all applicants without additional qualification questions.

For example, you might include questions such as:

  • Minimum GPA

  • Field of study or degree type

  • Specific college or university

  • Membership or community involvement

  • Financial need or other unique requirements

Note: These questions are used to match applicants with the categories they specifically qualify for. This page is not an eligibility check—everyone reaching this page is already eligible for at least one opportunity. The purpose is to direct each applicant to only the categories that apply to them.

Step 3: Create the Category Selection Page

Next, create a new page listing all available categories (scholarships, awards, grants, etc.) that applicants may qualify for.

Each category’s title and description should be added as a Prompt Text (HTML) box. You can include details such as the scholarship or award name, a brief description, eligibility highlights, or submission guidelines.

Each Prompt Text (HTML) box should have visibility conditions applied so that it only appears to applicants who meet the relevant criteria based on their answers from the matching page.

To set visibility:

  1. Click the Edit (pencil icon) on the Prompt Text (HTML) element for the category title or description.

  2. Go to the Visibility tab.

  3. Click Add Condition.

  4. Select Answer to Choice Question, select the question that determines their qualification for the category, and choose the response that qualifies the applicant for this category.

  5. Repeat this process for each qualifying response and for each category.

Step 4: Add the Category Selection Question

At the bottom of this same page, add a question allowing applicants to select the category (or categories) they want to apply for:

  • If applicants can apply for multiple categories, use a Checkbox question type and list all categories they’re eligible for.

  • If applicants can apply for only one category, use a Dropdown or Radio Button question type.

Step 5: Create Category-Specific Pages

After your selection question is set up, create a separate page for each category (scholarship, award, grant, etc.). These pages will hold the form content specific to that opportunity.

Each category page needs visibility conditions so that only applicants who selected that category will see its content.

To set visibility on a page:

  1. Click Page Options at the top of the page.

  2. Go to the Visibility tab.

  3. Click Add Condition.

  4. Select Answer to Choice Question, choose the category selection question, and then select the corresponding category.

  5. Repeat this for each category-specific page you create.

Summary

By following these steps, you’ll create a dynamic, conditional form that automatically tailors itself to each applicant. This ensures applicants only view and apply for opportunities they’re truly eligible for—making your application and review process efficient, accurate, and personalized.
