Admin - Copy-Over Process

Learn how to copy an existing event in Reviewr to reuse program settings, forms, and configurations. This guide walks admin through the copy process, including updating event details, deadlines, supplemental events, and program options.

Copying an Existing Event

If you are running the same program again, you can save time by copying a previous event. This will duplicate your existing configuration and allow you to update dates, branding, and other details for the new year.

Step 1: Access the Copy Event Option

  1. Navigate to the event you would like to copy.

  2. Select the Profile page.

  3. In the top-right section of the page, select Copy Event.

You will be taken to the Copy Event Setup page. Click Continue to begin the copy process.


Step 2: Enter Basic Event Information

On the next page, enter the basic details for your new event:

  • Event Name – Include the year or another identifier so you can easily distinguish events from year to year.

  • Time Zone – Select the time zone that should apply to all dates and deadlines in the event.

  • Microsite URL – Create a unique URL for your event microsite.

    • This URL must be different from all other Reviewr URLs, including those from previous years. (Reviewr will tell you your past years URL path)

  • Microsite Branding – Optionally configure your microsite banner and brand colors.


Step 3: Set Event Dates

Next, configure the key dates for your event:

  • Live Date

  • Submission Deadline

  • Evaluation Start Date

  • Evaluation Deadline

We recommend setting the Live Date to a future date so you can continue editing the event until you are ready to launch.


Step 4: Configure Supplemental Events (If Applicable)

If the event you are copying includes a supplemental event, you will be prompted to configure it here. You can update:

  • Supplemental event name

  • Microsite URL

  • Event dates

Tip:
If your supplemental event allows submitters to invite outside users (such as recommenders or collaborators), we recommend setting the supplemental submission deadline at least one day after the main submission deadline. This allows time for invited users to complete their submissions.


Step 5: Configure Program Options

On the final page, you can choose what elements from the source event should be copied into the new event. Options include:

  • Copying divisions from the source program

  • Copying groups from the source program

    • Configure these options if you have autogrouping or autodividing enabled.

  • Assigning event admin users from the source program

    • This configuration will bring all admin from your source event to your new program.

  • Copying judges from the source program

    • This configuration will bring all judges from your source event to your new program.

After selecting your desired options, complete the process to create your new event.
