There are two types of forms inside Reviewr: Submission & Evaluation
Submission Form (Signup Form): For your applicants or submitters to provide information about themselves related to the program requirements. Each program is only allowed one of these form types.
Evaluation Form: For your judges/reviewers to provide information that helps evaluate submissions, often resulting in a score or feedback that helps determine which submissions move forward. Each program can have multiple of these form types.
Once real people start using these forms, your program is considered live. As a result, some settings of the form editor are "locked" so admins can't break data that has already been entered.
How do I know when my form edits are being restricted?
When inside the form editor, there is a message at the top of the form highlighted in green that indicates your form is currently being used.
What causes forms to be considered "locked"?
Submission forms: the submission window is open, or the form has at least one real submission (deleted and test submissions don't count).
Evaluation forms: the evaluation window is open, or the form has any evaluations.
What specific form edits are restricted due to the locked state?
Admins are still able to do all the most common edits within forms like adding/moving/editing questions and pages.
Admins can also still delete questions and pages after go-live. Deleting one removes its answers from every existing submission, so once real submitters have started, hiding it with an Always False visibility condition is usually the safer choice. If you delete a question or page by mistake, the Reviewr team can restore it, along with its answers, on request.
But there are some edits within some question types are restricted including:
Choice Question Types: The ability to delete choices from Dropdown, Radio Buttons, or Checkboxes question types
Name Question Type: The ability to add or remove which name parts are displayed as fields within this question.
Submitter's Name & Submitter's Address Question Types: The ability to add or remove which name parts or address parts are displayed as fields within these questions.
Address Question Type: The ability to add or remove which address parts are displayed as fields within these questions and the ability to add or remove which countries and regions are included.
Signature Question Type: The ability to edit the User Prompt, which is the text f the checkbox that the user selects as an indication of their digital signature.
Supplemental Form Question Type: The ability to change which supplemental form (associated event) the contacts will be invited to.
Can I remove the locked state of my form?
As stated above, any submissions or evaluations currently in your program must be deleted in order to "unlock" (remove edit restrictions) a form.
We don't recommend this unless the submissions or evaluations have been created using test data in order to test out your program's configuration.
You also have to move your program's "Live Date" (submission open date) or "Evaluation Start Date" (evaluation open date) to a date in the future.
If you are unable to remove your form's locked state but you'd still like to make a change to one of your forms that is currently restricted, you can submit a request to the Reviewr support team. Our team will assess the needs behind this change, help you understand the risks involved in making the change, and (if deemed safe) make the change for you.
