Learn how to create and manage groups/divisions, control deadlines, assign reviewers, and organize submissions for your event.

Groups and Divisions Page

The Groups and Divisions page is where admins create, edit, and manage groups or divisions within an event. Groups are typically used to organize reviewers and submissions, while divisions help categorize submissions across larger event segments.

You can access this page by hovering over the “Data Management” clipboard icon in the left navigation menu and selecting “Groups and Divisions.”


Groups

Groups allow you to organize reviewers and submissions for evaluation. Each group has customizable settings that control assignments, visibility, and deadlines.

Adding a Group

To add a new group, click “Add Group” and configure the following settings:

  • Group Name – The name of the group.

  • Start Date / End Date – Define when the group is active. Group-level dates provide control over deadlines and editing ability for evaluations, even after submissions are complete.

  • Auto-Assign Function – Enable this if you want submissions to be automatically grouped based on responses in the submission form.

  • Share Evaluations with Submitters – Enable this if you want participants in the group to view their own evaluations once completed.

  • Hide Group from Reviewers – Enable this to hide the group’s tab in the reviewer’s submission search view.

Searching and Sorting Groups

You can search groups by:

  • Group Name

  • Reviewer Name

  • Reviewer Manager Name


Group Actions

Each group has several management options:

  • Edit – Update the group’s name, dates, auto-assign settings, evaluation sharing, or visibility.

  • Assign Reviewers – Assign reviewers to the group so they can evaluate its submissions.

  • Assign Manager – Promote a reviewer to Group Manager. A manager has admin-like permissions, but only for that specific group.

  • Manage Assignments – Assign reviewers to submissions (or vice versa). This is required before reviewers can see submissions when they log in.

Tip: You can also delete a group (one at a time) using the Bulk Actions dropdown.


Manage Assignments

The Manage Assignments feature allows you to control the relationship between reviewers and submissions. This is where you ensure submissions are actually assigned for review.

Submissions Tab

  • Search by Submission Name or Reviewer Name.

  • Note: Only fully submitted submissions are available for assignment. Submissions in New or Incomplete status cannot be assigned.

Assignment Options:

  • Auto-Assign Reviewers – Set a minimum/maximum number of reviewers per submission.

  • Clear Assignments – Remove all reviewer assignments from the selected submissions.

  • Manually Assign Reviewers – Select specific reviewers for the chosen submissions.

  • Assign All – Assign all submissions in the group to all reviewers in that group.

Reviewers Tab

  • Search by Reviewer Name, or Assigned Submission Count.

Assignment Options:

  • Auto-Assign Submissions – Set a minimum/maximum number of submissions per reviewer.

  • Clear Assignments – Remove all submissions assigned to selected reviewers.

  • Manually Assign Submissions – Choose specific submissions for reviewers.

  • Assign All – Assign all submissions in the group to all reviewers.

After choosing an action in either tab, click “Go.”


Divisions

Divisions help you segment submissions into broad categories (e.g., Awards, Scholarships, or Program Tracks).

Adding a Division

  • Click “Add Division.”

  • Enter the Division Name.

  • Click “Submit.”

Editing a Division

  • Select “Edit” next to the division.

  • Update the Division Name.

  • Click “Submit.”

Overview

The Groups and Divisions page gives admins powerful control over how submissions and reviewers are organized, how deadlines are enforced, and how assignments are distributed. Groups handle reviewer/submission workflows, while divisions provide high-level categorization of submissions.
