Admin - Manage Reviewers

Everything you need to manage reviewers: add, invite, assign groups, track activity, customize messages, and upload resources.

Managing Reviewers (Judges) in Reviewr

Admins can manage all Reviewer (Judge) accounts from the Reviewers tab within the Manage Users page. This is where you can add new Reviewers, invite them to participate, assign groups, monitor activity, and control access to relevant resources.


Accessing the Manage Users Page

  1. Hover over the clipboard icon labeled Data Management in the left-hand navigation menu.

  2. Select Users from the dropdown.

  3. Once on the Manage Users page, click on the Reviewers tab to view and manage Reviewer accounts.


Searching for Reviewers

Use the search bar to locate Reviewers based on specific criteria. You can search by:

  • Group

  • First Name

  • Last Name

  • Email Address

  • Company Name

  • Status

Click Search to view results. Select Reset to clear the search filters and return to the full Reviewer list.


Reviewer Reports

Login Report

Displays key Reviewer login activity, including:

  • First and Last Name

  • Email Address

  • Last Login Date

  • Number of Assigned Submissions

  • Number of Completed Evaluations

Reviewer Contact Report

Generates a downloadable report with the following Reviewer information:

  • First and Last Name

  • Organization Name

  • Email Address

  • Phone Number

  • Status

  • Areas of Expertise

  • Biography

  • Assigned Items

  • Group Assignments


Adding a Reviewer

To manually add a Reviewer:

  1. Click Add Reviewer

  2. Fill out the required fields:

    • First Name

    • Last Name

    • Email Address (this becomes the Reviewer’s username)

    • Company

  3. Optional fields include:

    • Phone Number

    • Expertise

    • Biography

⚠️ Note: Admins cannot edit usernames once they are created. If a Reviewer’s email address (username) is incorrect, please contact the Reviewr Support Team for assistance.


Inviting Reviewers to Participate

Before inviting Reviewers, make sure to customize the Reviewer Invite Email within the Email Templates page to reflect the appropriate event messaging.

To invite Reviewers:

  1. Select the checkbox next to the name(s) of the Reviewer(s) you want to invite

  2. Click Invite

  3. Confirm by selecting Go

An invitation email will be sent with login credentials and instructions.

NOTE: If your reviewers already have an account from previous years or events, they don't necessarily need a new Invite email. They can just login using the regular login page at my.reviewr.com , and they will be able to access your Event's judging portal from there.


Reviewer Actions

Each Reviewer has a set of individual actions available to Admins:

View

Edit the Reviewer’s profile information, such as name, company, expertise, and biography.

Assign Group

Assign a Reviewer to a specific evaluation group.

Steps:

  1. Click Assign Group

  2. Search for the group by Group Name

  3. Select the checkbox next to the desired group

  4. Click Save

Remove Group

Remove a Reviewer from an assigned group.

Steps:

  1. Click Remove Group

  2. Search by Group Name

  3. Select the checkbox next to the group you wish to remove

  4. Click Save

Login As

Use this feature to log in as the selected Reviewer.
This is helpful when troubleshooting issues the Reviewer may be experiencing with their dashboard, access, or evaluations.


Bulk Actions (Bottom Left Dropdown)

The dropdown in the bottom right corner of the page allows you to perform actions for multiple selected Reviewers:

  • Remove – Permanently removes the Reviewer(s) from the event

  • Send Email – Compose and send a message to selected Reviewer(s). You can edit:

    • BCC

    • Subject

    • Body of the email
      After composing the message, click Go to send

  • Bulk Upload Reviewers – Import Reviewer accounts in bulk using a .csv file
    Be sure your CSV includes required fields (First Name, Last Name, Email, Company)


Reviewer Resources

Reviewer resources are configured under the Users tab of the Configuration page. These include:

Reviewer Instructions

A message displayed to Reviewers immediately upon login.

To edit:

  1. Navigate to the Configuration Page

  2. Click Edit at the top of the Users section

  3. Enter or update the message

  4. Click Save

Invited Reviewer Message

This message appears at the top of the Set Password screen when a Reviewer first clicks their invitation link. It is a great place to provide clear, friendly instructions on how to set their password and begin reviewing.

To edit this message:

  1. Navigate to the Configuration page

  2. Select the Users tab

  3. Click Edit

  4. Locate the Invited Reviewer Welcome Message section

  5. Enter your custom message (e.g., “Welcome! Please set your password below to get started reviewing. This password will be used for all future logins.”)

  6. Click Save

💡 Tip: Keep the message brief but informative. Reinforce that the email address is their username, and that they’ll be taken straight to their Reviewer portal after setting their password.

Use this space to welcome reviewers, provide evaluation guidance, or communicate event expectations.

Downloadable Content for Reviewers

Admins can provide Reviewers with downloadable files or links for additional resources (e.g., rubrics, guidelines, sample scoring).

To add content:

  1. Click Add

  2. Enter:

    • File Name

    • Description

    • Type: Upload a file or provide a link

  3. Click Upload and Save

To delete a resource, select Delete next to the item you want to remove.


Tips for Managing Reviewers Effectively

  • Assign Reviewers to groups early to streamline evaluation setup

  • Use the Login Report to monitor activity and ensure engagement

  • Keep Reviewer instructions clear, concise, and relevant

  • Use Downloadable Content to reduce confusion and improve scoring consistency

  • Utilize the “Login As” feature for hands-on troubleshooting
