How Do I Change What Statuses Are Viewable to My Reviewers/Judges?

As an Admin, you control which submission statuses are visible to your reviewers and judges within their evaluation portal. This helps ensure they only see submissions that are ready for review and keeps the portal clean and focused.

Why This Matters

Controlling which statuses are viewable helps you:

  • Limit confusion by showing reviewers only the submissions that are ready for evaluation

  • Maintain control over the review process by hiding drafts, ineligible, or incomplete entries

  • Stage multiple review rounds by updating visible statuses between phases (e.g., only show “Ready for Round 2” once the next phase begins)

  • Avoid errors by preventing judges from scoring the wrong submissions

Tip: It’s important to regularly check which statuses are viewable, especially before evaluations begin or after you’ve made changes to your submission flow.

How to Update Reviewer-Visible Statuses

To manage which statuses are visible in the reviewer portal:

  1. In the Admin Dashboard, click “Configuration” from the lefthand sidebar (gear icon)

  2. On the Configuration page, click the “Judge Settings” tab

  3. Click “Edit”

  4. Scroll to the setting called “Submission Statuses Presentable to Reviewers”

  5. Check the boxes next to the statuses you want to make visible

  6. Click “Save” to apply your changes

Best Practices

  • Only select review-ready statuses (e.g., “Accepted,” “Ready,” etc.)

  • Deselect statuses like “Incomplete,” “Pending,” or “Draft” to keep the reviewer portal clean

  • Adjust visibility between rounds if you use a multi-stage evaluation process

  • Test with a reviewer login to confirm the portal displays what you expect
