Whether you're using Aloha with SmartCart or manually entering orders, this guide shows you how to add warranties to eligible purchases and keep everything organized.


🛍️ How to Sell Warranties with SmartCart

🎉 Congrats on enabling the warranty feature! Here's how to start using it with SmartCart:

Step-by-Step Instructions:

  1. Search for the patient
    Go to the Eligibility Search tab and enter the patient’s:

    • Last name

    • First name

    • Date of birth

  2. Place an order

    • Click the patient’s name in the search results

    • Select Place an Order

  3. Build the order

    • Add all items the patient is purchasing (frames, lenses, etc.)

    • When ready, click Add to Cart (bottom right)

    • Click Proceed to Cart

  4. Add the warranty

    • Under Frames and Lens, find the Warranty toggle

    • A blue checkmark means the warranty is active ✅

      • Leave it checked if the patient wants the warranty

      • Uncheck it if they decline coverage

  5. Complete the sale

    • Click Proceed to Checkout and finish the order

📩 Patients will receive confirmation emails after purchase.


📝 How to Sell Warranties Without SmartCart (Manual Entry)

Don’t use SmartCart or an EHR integration? You can still offer and track warranties easily in Aloha.

Manual Warranty Setup:

  1. Click the Warranties tab

    • Found in the left-side menu

  2. Click “Create Warranty”

  3. Fill out the warranty form

    • Include all recent order details

    • Enter the patient’s full name and contact info

    • The system will auto-select the correct warranty tier based on the order total

  4. Submit the warranty

    • Click Submit to finalize the entry

    • A confirmation screen will appear, and…

📩 The patient will receive a confirmation email automatically


🗑️ Canceling a Warranty

Need to cancel? Here's how:

  1. Go to the Warranties Dashboard

  2. Click the 3 dots (⋮) next to the relevant warranty

  3. Select Cancel Warranty


✅ You’ll Know It Worked When:

  • The warranty toggle appears and is selected during checkout (SmartCart)

  • A confirmation screen and patient email appear (manual method)

  • The warranty is visible in the Warranties Dashboard
