🧾 How to Find, View, and Download Invoices

A simple guide on how to locate all invoices or just a specific patient's financial history, plus how to sort, filter, and download them.

✨ When You Need This Guide

This guide is for you if you need to manage your practice's financials and want to:

  • See a list of all your invoices in one place.

  • Find one specific patient's invoice or their entire financial history.

  • Search or sort your invoices by status (like "paidinFull" or "saved").

  • Download multiple invoices for a single patient at the same time (bulk download).

  • Filter your invoices to see only what's relevant to you.

βœ… Viewing All Invoices on One Screen

Use this method when you want a complete overview of every invoice in your account.

  1. Navigate to the main Invoices tab.

    • This is your command center for viewing all invoices across all patients.

  2. Use the search bar to find a specific patient.

    • Simply start typing a patient's name to quickly narrow the list.

  3. Click the Filters button to refine your search.

    • This is perfect for focusing your view. You can filter by:

      • Invoice Status

      • Clinic (if you manage multiple locations)

  4. Click any column header to sort the list.

    • What to expect: Want to see all invoices with an amount due? Click the Amount Due header. The first click sorts the list from low to high (A-Z), and a second click will reverse the order to high to low (Z-A). You can do this for any column, like Invoice Number, Patient Names, Created Date, Total Amount or Status.

βœ… Viewing a Specific Patient's Financial History

Use this method when you need to see all the financial details, including invoices and charges, for a single patient.

  1. Go to the Patient Profile for the person you're looking for.

  2. Click on the Financials tab.

    • You'll first see a list of Line Items, which can be used to create a Superbill.

  3. Scroll down past the Superbill to find the Invoices list.

    • This section shows every invoice ever created for this specific patient.

  4. Download invoices for your records.

    • What to expect: In this section, you'll see options to download the patient's invoices as a PDF file. You can choose to:

      • Download All: Get every invoice in a single action.

      • Download by Date: Select a date range to get only the invoices from that period.

What to Do

An invoice isn't showing up in the list.

The filters might be hiding it. For example, you might be filtering for "paidinFull" invoices, but the one you want is "saved".

On the Invoices tab, click the Filters button and make sure the Status is set to show all invoices. A quick page refresh can also help reset the view.

I can't see the Invoices or Financials tab.

An Invoice may not have been created

For Appointment-Associated Invoices, locate the appointment and head to the Outcome screen to verify Line Items were added. Next, you can create an Invoice directly from the Line Items tab.

Sorting isn't working when I click the header.

You may need to click again to get the right order.

The first click sorts A-Z (or low to high). Click the same header a second time to sort Z-A (or high to low). This is the intended behavior for reversing the sort order.

  • Your invoice list is sorted exactly how you want it (e.g., all unpaid invoices are grouped at the top).

  • You see a PDF file download to your computer's "Downloads" folder after using the bulk download feature.
