How to Create and Manage Subscriptions

Subscriptions, Recurring Billing, Memberships, Careplans

There is nothing more convenient than recurring billing for both you AND your patients! Subscriptions are great for memberships or when a patient receives a set of Services that renew monthly in a Careplan. 💸 We make setting Subscriptions up in Clerk a breeze!

You can associate this charge to an Appointment at the time of the Checkout, OR you can go to their Patient Profile > Financials tab > Create an Invoice. From there, add the charge you would like to create a Subscription for:

To make this a Subscription that bills monthly, hit the circular Subscription button located below the gray payment box, as seen in the image below:

The Subscription pop-up will have you:

  • select the Payment Source on file

  • designate whether the Patient's Primary Card will be charged each time

  • choose the frequency of payments (biweekly, monthly, or weekly)

  • choose the total number of payments need to be made

  • and to select which day of the month you'd like the card to run on (for example, you could choose the 4th day of every month).

If this is a one year subscription, there would be 11 monthly payments after today's charge.

The Monthly Payment Day should be on or before today's date. Please note, the charge will occur on this Monthly Payment Date regardless of when the Invoice is created.

For example, if you create the invoice and charge the Patient their first month on June 1st, and the Monthly Payment Date is set for the 2nd of each month, the patient will be charged on June 1st, and billed again the very next day on June 2nd. In this case, you will want to make the Monthly Payment Date at the end of the month, for example, the 28th, to avoid the recurring charge happening too soon after that first payment.


Once a Subscription begins, you manage it by going to the Patient Profile > Financials tab > Subscriptions:

Here, you can view things such as the Invoice number, when the next payment will occur, how many payments are left, and if the Subscription is active. Under the Actions column, you can cancel the Subscription by selecting the red trash can.

Note:✨ If you need update the patient's credit card or change the frequency of payments for active Subscriptions, you may do this from the Practice Manger under the Subscriptions tab.
