It's important to know the ins and outs of how your clinic operates so that you can have an efficient workflow! The Operational Reports can help with this - let's break them down! 🤓

Appointment by Type Report: This report provides a tally of the number of appointments booked per day and per Appointment Type.

Appointment by Status Report: This report will show in line item detail each appointment scheduled, the associated patient, patient phone number, and appointment status. This Report can also be exported as a way to print off a list of future appointments for patients when you search for them by name!

Appointment No Shows Report: This report will show each scheduled appointment in “No Show” status, along with the appointment date/time, patient name, and patient phone number.

Bulk Write Offs Report: This report shows in line item detail the invoices with a remaining balance due, the patient name, created date, total amount, and amount due. You can then search by patient name, and select the line items you wish to write off. When in the Bulk Write Offs report, select each line item you wish to write off, then click this button to write those invoices off, removing them from the patient’s balance due.

Written Off Invoices Report: This report will show in line item detail each balance that has been written off, along with any Write Off Reason (if provided), the write off amount, the invoice amount, and the invoice amount due

New Patients Report: This report will show you the recent activity of any new patients added to Clerk, including their assigned Case Type, total sales revenue, and number of Future Appts booked.

Patient List Report: This report is your official Patient List; you will find patient first and last names, their email, phone number, assigned clinic, Case Type, total sales, amount due, sex, active status, whether they have an active Careplan, and insurance.

No Future Appointments Report: This report shows any patients who had a past appointment but have no upcoming appointments scheduled. It will also show you the appointment type originally scheduled, date of last appointment, patient case type, Provider seen, phone number, and amount due

Incomplete Appointments Report: This report will show any appointments that have been checked in or marked in treatment, but have not been marked complete. This report will also let you know if an Invoice has been made, if SOAP Notes have been added at all, or if any Claims have been generated. This is a great report for the front desk to work out of for task management.

SOAP Notes Not Signed Report: This report will show any appointments with SOAP notes entered that have not been signed by the rendering provider. This is a good working report for doctors to know which notes are not yet finished. This report will also tell the provider if the appointment has a Completed status, which is a key factor for utilizing SALT going forward!

Missing Line Items From Charge Report: This report will show any appointments that have an associated invoice but do not have anything filled out in the Line Items Tab of the Appointment Outcome. The purpose of this report is for insurance clinics and clinics that see MVA and/or PI cases to be able to find any charges that do not have associated billing codes. For example, the patient was charged the Office Visit Fee, but the provider has yet to put in the ICD10 and CPT code for that charge.
