Platform Rewaa allows you to modify or archive accounts in the chart of accounts to suit your business needs. This flexibility ensures efficient management and organization of financial accounts.

Editing Accounts

You can edit account names, codes, or their placement in the hierarchy.

Steps to Edit an Account:

  • Navigate to:
    Accounting > Chart of Accounts > Search for the account name or code.

  • Click on:
    The three dots (•••) next to the account > Select "Edit Account."

  • Fields Available for Editing:

    • Account Code: Adjust the code according to your numbering system.

    • Account Name: Modify the name as needed.

    • Description: Optional.

  • Click "Save"

    • The account will be updated with the new details.

Archiving Accounts

Archiving is the process of organizing and storing documents and records in a structured manner for easy access and retrieval when needed. This concept applies to archiving accounts in the chart of accounts, which means changing the account’s status so that it no longer appears in the chart. As a result, the account can no longer be used for payments or collections.

Rewaa provides this feature to help you efficiently archive accounts and restore them when needed.

Steps to Archive an Account:

  • Navigate to:
    Accounting > Chart of Accounts > Search for the account name or code.

  • Click on:
    The three dots (•••) next to the account > Select "Archive Account."

  • Confirm Archiving:

    • A confirmation message will appear.

    • Click "Archive."

  • Result:

    • The account will be moved to the Archived section.

    • It will no longer be visible or usable in transactions.

Steps to Restore an Archived Account:

  • Navigate to:
    Accounting > Chart of Accounts > Archived.

  • Click on:
    The arrow icon next to the archived account.

  • Result:

    • The account will be restored to the active chart of accounts and can be used again.


FAQ

1. Can user permissions limit modifications to the chart of accounts?

Yes, user permissions can control access to view or modify the chart. For details on setting permissions, click here.

2. Why can't some accounts be edited?

Accounts at level 1 (e.g., "Assets") have fixed details and cannot be edited. Only accounts at levels 2 and below can be modified.

3. I edited an account, but the changes are not visible.

Refresh the browser page to update the chart of accounts.

Shortcut: Press CTRL + R or use the refresh icon in the browser.

4. Can I archive any account?

You can archive most accounts, except:

  • Main accounts (level 1 and 2).

  • Accounts with a non-zero balance: Ensure the balance is 0 before archiving.

  • Accounts with sub-accounts: Archive sub-accounts first to archive the parent account.

5. Can I view details of an archived account?

Yes, click the icon (👁) next to the archived account to view its details, including the last 10 transactions before archiving.

6. Can I export a statement for an archived account?

No, statements for archived accounts cannot be exported. Restore the account first to access and export its statement.
