A customer account statement is a summary of financial transactions conducted on the platform between you and a specific customer. It allows you to view all interactions with the customer, and you can filter these by a specified time period. The account statement provides a summary of total amounts such as opening balance, total invoice amounts, total payments made, and outstanding amounts. It also includes detailed information about each transaction, such as the type of transaction, date, and more.

ℹ️ The account statement is available after installing the Accounting app.

Accessing a Customer Account Statement

To view a customer's account statement:

  • Go to Sales and Customers > Customers.

  • Search for the customer's name or mobile number in the search bar.

  • Click on the customer’s code to view details.

  • Select Account Statement located at the top left of the page.

  • You will see all transactions with the customer in the account statement. Use the date range filter (from - to) to view transactions for a specific period.

Exporting the Account Statement

To an Excel File:

  • Click on Export.

  • The file will automatically download to your device.

To a PDF File:

  • Click on Print.

  • Set the destination as Save as PDF.

  • Click on Save, and the file will be saved to your device.

Printing the Account Statement

  • From the account statement view, click on Print.

  • Select your printer in the destination field.

  • Click Print, and the account statement will be printed.


FAQ

1. What is the difference between the account statement in the customer details and the one in financial reports?

  • Customer Details Account Statement:
    A summary of transactions provided upon customer request. For example, a customer buying products in bulk may ask for a statement showing all amounts paid and due. You can print and hand over this statement.

  • Financial Reports Account Transactions:
    Used for internal auditing and reviewing credit sales. Each transaction in this statement is linked to its journal entry and reference number. Click on the reference or journal entry for detailed reviews.

2. How can I export a customer’s account statement for only three months?

Specify the time range in the date filter field, then click on Export to download an Excel file containing the statement for the selected period.

3. Can I identify the invoice linked to a specific payment in the account statement?

Yes, follow these steps:

  • Go to Reports > Financial > Account Transactions.

  • Set the desired time range and select Accounts Receivable from Customers. Choose the customer's name.

  • All transactions within the selected period will be displayed. You can find the invoice number in the Reference ID column. Click on it to access the invoice details.
