When conducting sales transactions, all invoice amounts are included in the total sales, regardless of whether they are fully paid, partially paid, or unpaid. To track the amounts actually collected from customers and the outstanding balances, you can use the Sales Report by Payment Status. This report categorizes sales by payment status, making it easier to monitor financial dues for each location.

Accessing the Report

  • Go to: Reports > Sales > Sales by Payment Status.

Report Filters

Use the filters at the top of the page to narrow your search by:

  • Time Period (start and end dates).

  • Location.

  • Payment Status.

ℹ️ All results are displayed based on the selected time frame and filters.

Report Details

The report provides the following information:

  • Payment Status:

    • Paid: Fully paid invoices.

    • Partially Paid: Partially paid invoices.

    • Unpaid: Unpaid invoices.

  • Location: Branch where the transaction occurred.

  • Sales: Total sales invoices minus returns and discounts, excluding tax.

  • Cost of Goods Sold: Direct cost of purchased goods sold.

  • Gross Margin: Total sales minus COGS.

  • Sales Tax: Tax amount applied to taxable products.

  • Sales (Tax Inclusive): Total sales invoices minus returns and discounts, including tax.

  • Sold Quantity: Quantity of sold products (does not deduct returns).

  • Returned Quantity: Quantity of returned products.

Exporting the Report

To export the report:

  1. Click export.

  2. Select xlsx to download the report as an Excel file.

1. Can user access to this report be restricted?
Yes, follow these steps:

  • Go to Settings > Users > ⚙️ > Edit User.

  • Navigate to User Permissions > Reports > Report List, and enable Read.

  • Expand Sales Reports and locate Sales by Payment Status.

  • Enable the appropriate permissions for the user.

  • Save changes to apply the restrictions.
