The Purchase Invoice Details Report provides an in-depth view of all products included in purchase invoices. This report simplifies periodic reviews or searches for specific product details, enabling easy identification of products and associated invoices.
Accessing the Report
Navigate to: Reports > Inventory > Purchase Invoice Details Report.
The report displays all data, allowing you to search by purchase invoice number or supplier name. You can further refine your search results and specify the time period using the filter option.
Features of the Report
The report is divided into two sections:
Header Section: Displays the company name, report title, and selected date range.
Details Section: Shows product details for each purchase invoice.
Key Information Available
Invoice Number: The purchase invoice reference.
Location: The branch selected when creating the purchase invoice.
Issue date: The date the purchase invoice was created.
Supplier Code.
Supplier Name.
Product Name.
Product SKU code: Unique product identifier.
Product Quantity: New product quantity added to the invoice.
Scroll through the table using the horizontal scrollbar to view additional details:
Product Cost (Tax Inclusive): Cost per unit, including tax.
Product Cost (Exclusive Tax): Cost per unit, excluding tax.
Tracking Information (if applicable): Batch number or serial number.
Expiry Date (if applicable): Expiry date for tracked products.
ℹ️ Tracked Products:
Serial Number Tracking: Products with unique serial numbers (e.g., electronics).
Batch Tracking: Products grouped by batch/lot with an expiration date (e.g., pharmaceuticals, perishables).
Exporting the Report to Excel
To export, click Export, select xlsx, and the file will download to your device.
FAQs
1. Why is the invoice number repeated?
The report displays details for each product in a purchase invoice. Repeated invoice numbers indicate multiple products in the same invoice. You can view the names of the products added to the invoice in the Product Name column.
2. Can I search for a product to see all its purchase invoice details for the current week?
Yes:
Use the Filter icon in the Creation Date column and select This Week.
In the Product Name column, filter by the product name.
Export the results by clicking Export, selecting xlsx, and downloading the file.
3. Can I filter results for a specific date range?
Yes:
Use the Filter icon in the Creation Date column.
Choose a predefined range (e.g., This Week, This Month, Last 3 Months) or select Custom for specific dates.
Click Apply to display details for the selected range.
4. How can I view product details by supplier if I purchase the same product from multiple suppliers?
Use the Filter option at the top of the report.
Enter the supplier names in the Supplier Name field and the product name in the Product Name field.
Click Apply to display data specific to your selection.
5. Can I restrict user access to this report?
Yes. Navigate to:
Settings > Users > ⚙️ > Edit User.
Disable Read and Export permission under Reports > Stock Control Reports > Purchase Invoice Details Report.
Click Save Custom User to apply the settings.
When a user accesses their account, reports will be displayed based on the assigned permissions.
