The Exceptions feature in Rhumbix gives Admins and Office teams powerful tools to flag time entries that are incomplete, non-compliant, or outside expected norms. Whether it's a missed clock-in, unusually short shift, or a break that didn’t happen—Exceptions help your team surface and review issues before time gets approved.
This article explains how to configure Exception types, filter and view flagged entries, and how the feature fits into your timekeeping workflow.
⚙️ What Are Exceptions?
Rhumbix supports configurable Exceptions in three categories:
CI/CO (Clock In / Clock Out):
Flags out-of-compliance entries based on your configurable CI/CO Exception Threshold.Irregular Hours:
Flags shifts that are too short, too long, or don’t match expected daily durations.Shifts/Breaks:
Flags entries missing breaks, meals, or shifts, or those that violate thresholds like time-before-meal or break duration.
❗Important: All Exceptions are configured at the user level. If one team member sets up Exception rules, those rules will not apply to other users automatically. Each user can configure their own Exception logic independently.
Each category can be customized based on your company or compliance requirements.
🛠️ How to Configure Exceptions Rules
To set up or adjust rules for Exceptions:
Go to Weekly View.
Select Exceptions.
Choose the Exception type you'd like to configure:
For each, you’ll be able to define what triggers a flag. Example settings include:
Minimum or maximum meal duration
Maximum time before a meal is taken
CICO minutes Exception threshold
Once your rules are defined, click Submit to apply.
🔎 Filtering and Viewing Exceptions
After Exceptions are triggered by timecard data, Admins can filter and view them in the Web Weekly View dashboard:
Open the Exceptions dropdown from the toolbar.
Select the Exception types you want to review:
✅ CI/CO
✅ Irregular Hours
✅ Shifts/Breaks
You can also toggle the Exceptions Filter on or off.
Click Done to apply your filters and view flagged entries.
Flagged entries will be visibly marked, and clicking into a timecard will show why the Exception was triggered.
👥 Who Sees Exceptions?
Admin and Payroll Admin users: Can configure Exceptions and view flagged entries directly in the web Weekly View dashboard.
Field users and Foremen: Do not see Exceptions flags. Exceptions are intended for use in timekeeping review.
✅ What to Do with Flagged Entries
When reviewing Exceptions:
Click into the flagged timecard for context.
Edit entries if necessary (e.g., add missing break, correct clock-in).
Save the entry to resolve the exception.
❗Note: Exceptions do not block approvals or exports. They’re designed to surface entries for review, not prevent workflow progression.
