This Quick Start guide helps you understand the most common roles used in the field, how permissions work, and how timekeeping statuses align with payroll workflows and ERP integrations.

Whether you're a Foreman entering time, a Superintendent reviewing records, or a Payroll Admin preparing exports—Rhumbix roles make it easy to manage workflows securely and efficiently. ✅

👥 Overview of Rhumbix Roles

Each user role in Rhumbix is associated with specific permissions to match real-world responsibilities. Here’s what each role typically does, along with the timekeeping status they trigger:

🧑‍💼 Office Worker

For employees who need to track their own time only.

  • Can enter and submit only their own time

  • No visibility into team timecards

  • Cannot review, approve, or export time

  • Does not trigger a payroll review status
    (Ideal for salaried or individual contributors)

🔨 Foreman

Assigned to crew leads who enter time for their teams.

  • Can enter and submit time for themselves and a crew

  • Often paired with Project or Group assignments

  • Does not trigger a payroll review status (entry only)

🏗️ PM

Typically responsible for reviewing time entered by Foremen.

  • Can approve or adjust time entries

  • Often oversees multiple crews or projects

  • Triggers:Supervisor Approved status
    (Used to signal time is ready for payroll review)

🧾 Payroll Admin

Used by payroll teams or site admins managing final review and exports.

  • Can review, approve, and export time data

  • Typically has visibility into all jobsite time entries

  • Triggers:Payroll Approved status
    (This status is critical—it's what initiates ERP integrations for most clients)

🛠️ Admin

Full system access, generally used by project or company-level administrators.

  • Can manage users, roles, and project-level settings

  • Has visibility across all projects and timecards

  • Not directly associated with a payroll status, but can perform any action
