➡ Generate and print QR codes for fast worker logins via Rhumbix Kiosk.
Rhumbix makes it easy for workers to clock in and out at a Kiosk with printable QR code badges. This feature lets project admins and office teams quickly generate scannable login codes for employees in bulk.
You can print or download QR Code PDFs directly from Team Member lists in your Project or Company Settings, making CICO fast, secure, and seamless on shared jobsite devices.
🧾 Where to Generate QR Code PDFs
QR Code badges can be printed from multiple locations in the platform:
Project Settings > Team Members
Company Settings > Team Members
Cohorts tab
Groups tab
🖨️ To generate QR badges:
Navigate to the relevant tab or settings page.
Select the employees you'd like to include.
Click Print QR Code PDF.
A PDF will download that you can print for distribution.
You can print directly from the preview window or download the file and print using your preferred PDF utility. We recommend Adobe Acrobat for best results.
📌 Avery Label Template: 61612
This is the label format used for badge printing. The Avery number is displayed above the PDF preview.
🖨️ Be sure to print at 100% scale. Do not allow your print settings to auto-scale or shrink the document, as this can misalign the labels on the page.
⚠️ Required Setup for QR Codes
Before QR badges can be printed:
The QR Code field in each employee’s profile must be filled out.
This field acts as the scannable identifier for that employee during Kiosk login.
If the field is blank, no QR code will be generated for that employee.
✅ Best Practices for QR Code Setup
To ensure smooth and accurate CICO logins, it’s important to choose thoughtful, consistent values when populating the QR Code field for each employee.
We recommend using a value that is:
Consistent across other systems (like HR, badging, or payroll)
Simple to scan and recognize, but not easily guessable
Unique if possible, but not required
🔢 Recommended values:
Employee ID (if standardized within your org)
Last 4 digits of SSN or phone number (if permitted by your privacy policy)
Badge number from an existing access control system
Short alphanumeric codes (e.g., initials + hire year like JD2023)
📌 If multiple employees have the same QR code, the system will prompt them to select their name after scanning. This ensures accurate tracking even when codes overlap.
🚫 Avoid using:
Full SSNs (privacy risk)
Long or overly complex codes that are hard to scan
Blank or duplicate codes (unless intentionally shared)
🔁 Not sure whether your team will use PINs or QR codes?
Best practice is to populate both fields with the same value in the Rhumbix platform. That way, your field team can use either method seamlessly—QR scan or PIN entry—depending on what works best on the jobsite.
🔁 Reusing and Importing QR Codes
Rhumbix offers flexibility when it comes to how QR codes are used and assigned:
QR codes do not need to be unique across your company.
If multiple team members share the same QR code, they will be prompted to select their name from a list after scanning. This ensures each login is still correctly attributed—even when codes overlap.Import existing QR codes from your jobsite system.
If your team already uses QR-coded badges for site access or badging, you can import those QR values into Rhumbix. This lets workers use the same physical QR badge for both site access and Rhumbix CICO, avoiding the need for a second code or badge.
⚙️ Customize Badge Details with Display Fields
Above the badge preview, you'll find a Display Fields dropdown that allows you to choose what to include on each QR code label.
You can choose to show or hide:
Employee ID
Trade
Classification
This gives you flexibility to print clean, role-appropriate labels based on what’s needed in the field.
