Bulk Requesting Timecard Signatures in Weekly View

Need to collect timecard signatures across multiple employees or projects? You can easily send batch signature requests using Rhumbix Weekly View.

This guide walks you through two common approaches: using the default Employee grouping or switching to Project or Timecard Owner grouping.

🔁 Important: If a timecard has already been signed, Rhumbix will still send a new signature request. The existing signature remains unless the employee signs again.


🛑 Best Practice: Only send new requests for unsigned timecards or those that have changed since the last signature to avoid confusion and extra messages.


👷 Bulk Signature Requests When Grouped by Employee (Default)

Steps:

  1. Open Weekly View in Timekeeping.

  2. Confirm your view is grouped by Employee (this is the default).

  3. Click once (single click) on the timecard entry for the first employee.

  4. Hold the Shift key to select multiple people sequentially or hold down the Control key and click additional rows to multi-select as needed.

  5. Once your timecards are selected, click:

    • Request Weekly Signature, or

    • Request Daily Signature
      (depending on your team’s setup).

  6. Team members who have opted into Rhumbix text notifications will receive a signature request.

⚠️ Note: If the Request Weekly or Daily Signature button is grayed out, it means at least one selected employee is not enrolled to receive text messages.


🏗️ Bulk Signature Requests Using Project or Timecard Owner Grouping

If you're collecting signatures for large teams or across entire job sites, grouping by Project, Timecard Owner, or other fields may be more efficient.

Steps:

  1. Open Weekly View in Timekeeping.

  2. In the top-left, click the Group By dropdown.

  3. Select Project, Timecard Owner, or another grouping that fits your workflow.

  4. Click once (single click) inside the time entry cell for the group you want to request signatures for.

  5. Click:

    • Request Weekly Signature, or

    • Request Daily Signature

  6. Rhumbix will send requests to all workers in the group who are opted in for text message notifications.

⚠️ If the Request Weekly or Daily Signature option is grayed out, it means one or more of the selected team members are not enrolled to receive text messages.

💡 Pro Tip: You can create a custom status like “Signature Needed” to filter or group timecards that are ready for signature.


Using Weekly View for bulk actions helps streamline your timecard process—perfect for large crews or project-wide reviews.
