Managing Credentials in Rhumbix - Licenses, Unions, and Certifications

Rhumbix lets you track certifications, licenses, and union affiliations in one central location. By entering credential information in Rhumbix, you can verify who is qualified for tasks, monitor expirations, and maintain compliance across crews.

Certifications, license, and union data can be added and managed on the Web and viewed on Mobile. This ensures that both administrators and field users have visibility into crew qualifications when planning or working on a project.

Note: Reporting capabilities for credentials are currently in development. You can begin adding your credential data today to start building a complete, ready-to-report record for your teams.


Adding Credentials (Web)

You can add certifications, licenses, and union affiliations directly from the Web Dashboard under Company Settings > Team Members > Modify Team Members. You'll use the the Certifications, Licenses, and Unions tabs.

  1. Navigate to Company Settings > Team Members > Modify

    1. You can also double-click in the Certifications, Licenses, and Unions column to enter Modify Team Member.

  2. Click + Add credential (Certification, License, or Union).

  3. Enter the required details:

    • Credential Name (e.g., OSHA 30, Forklift Certification, CPR, Union, License)

    • Upload Supporting Documents (optional—upload images or PDF documentation)

    • Expiration Date (optional)

  4. Click Save to complete.

Credentials will automatically appear under the associated employee’s record and can be updated or removed at any time.


Editing or Removing Credentials

To make updates:

  1. Navigate to Modify Employee

  2. Select the credential you want to edit.

  3. Update any relevant details.

  4. Click Save to confirm your changes.

To Delete a certification:

  1. Navigate to Modify Employee

  2. Select the checkbox for the credential you want to edit.

  3. Select "Remove Selected" in the blue action bar.

Changes made on the web will be reflected on mobile the next time data syncs.


Viewing Credentials (Mobile)

On mobile, field users can view their own credentials as well as the credentials of their crew (if they have the appropriate permission).

To view credentials:

  1. Open the Rhumbix app and navigate to the Time Card tab at the bottom of the screen.

  2. Tap into Select Workers

  3. Tap the Information icon near the worker’s name to see their credentials.

  4. Tap any credential to view its details, including expiration date and issuing organization.


Monitoring Credential Expiration

Rhumbix highlights expired credentials on the mobile app to help you stay ahead of compliance issues.

  • Expired Credentials are clearly marked in red..

  • Using Data Explorer or the standard Rhumbix report - users will be able to export data for review or reporting (functionality coming soon).


Preparing for Reporting

Although reporting is still in development, adding your data now ensures you’ll be ready when it launches.

  • Data Explorer: Clients with a Data Explorer (DE) subscription will be able to build custom reports leveraging credential data.

  • Standard Report: Non-DE clients will have access to a pre-built Credential Report summarizing key information such as employee name, credential type, issue/expiration dates, and status.

FAQs

Can field users add credentials from mobile?
No. Credentials can only be added or updated from the web at this time. Mobile users can view credentials but cannot edit them.

Can we attach proof of certification?
Yes, on the Web platform you can attach supporting files (e.g., PDFs or images) to each credential record.

Will Rhumbix send notifications for expirations?
No — but reporting functionality is under development.
