When an employee signs their timekeeping information, the signature represents the data they reviewed and signed. If information covered by the signature is changed later, Rhumbix can mark the signature as invalid so the change can be reviewed.
An invalid signature does not necessarily mean the change was incorrect. It means the timekeeping data is no longer the same as what was originally signed.
✍️ What Causes a Signature to Become Invalid?
Some timekeeping changes will always invalidate an existing signature, including changes to:
The number of hours
The work shift date
Other fields can be configured to invalidate a signature under Company Settings > Team Signatures.
Shift Extras can also invalidate a signature when they are configured to appear in the signature panel.
📅 Daily and Weekly Signatures
A signature represents the timekeeping data included in the employee’s signed period.
For a daily signature, Rhumbix combines the employee’s time across all timecards for that day and presents the hours as a single daily total for the employee to review and sign.
For a weekly signature, Rhumbix combines the employee’s time across all timecards for the week and presents the hours as a single weekly total for the employee to review and sign.
🔴 Identify an Invalid Signature
When timekeeping information covered by a signature changes, Rhumbix indicates that the existing signature is no longer valid.
On the web, an invalid signature is visually identified so you can review the change and determine whether a new signature is needed or the existing signature can be revalidated.

✅ Accept the Changes
If the timekeeping change is correct and a new signature is not required, you can Accept Changes.
When accepting the changes:
Open the timecard with the invalid signature.
Select Accept Changes.
Enter a comment explaining why the change is being accepted.
Confirm the change.
Once the changes are accepted, the existing signature becomes valid again. Rhumbix records who accepted the changes and the comment entered, providing an audit trail of the action.
💡 Note: Accepting the changes revalidates the existing signature. It does not create a new employee signature.
✏️ Get a New Signature
If the employee should review and sign the updated timekeeping information, a new signature can be collected instead of accepting the changes.
Depending on the signature workflow, available options may include:
Signing again on the web
Signing again on the mobile device
Requesting a new signature from the employee
A signature request by itself does not make the signature valid. The employee must complete the new signature for the updated timekeeping information.
⚠️ Important
The exact signing options available can depend on your company’s signature configuration and whether the employee has the information required for the selected signature method.
📱 Invalid Signatures on Mobile
When signed timekeeping information is changed, the mobile app identifies the signature as Signature Invalid. From the Time View, you can Accept Changes to revalidate the existing signature or select Re-Sign to collect a new signature.
