How to manage time cards on the mobile app

Rhumbix timekeeping users can easily manage all their time cards in the mobile app. Here, users can review, edit, and duplicate timekeeping data. This can be done in Day View, Week View, and the Time Card Summary page.

Day View

Day View is the default screen users view when selecting the Time View tab. Here, time cards are organized and viewed by the day of the week.

Users can navigate between different days by scrolling right and left on the dates at the top.

*Users can also toggle between viewing time cards by day or week. To do so, click the button on the top right of the screen.

Day View Summary

To view time cards on a particular day, click the date you want to view.

Each day with time card entries will show an overview at the top of the screen of the total hours for the day, the number of team members, the average hours per team member, and the number of time cards for that date.

Scrolling down shows the names of each team member, Projects, and Cost Codes with a breakdown of the total hours for each.

The time card status is listed next to the Project name.

Week View

Like Day View, Week View is viewed under the Time View tab. Here, time cards are organized by the week.

To toggle to Week View from Day View, click VIEW WEEK on the top right. Users can navigate between different days by scrolling right and left on the dates at the top.

Week View Overview

The Week View Overview is similar to the Day View Overview. The only difference is instead of viewing time card information for a single day, users will consider it for an entire week.

Time Card Summary

The Time Card Summary shows an overview of information for a single time card.

Users can click on an individual time card from the Day View Summary to get to the Time Card Summary screen.

The time card will show an overview at the top of the screen of the total hours for the day, the number of team members, and the time card status.

Scrolling down shows the names of each team member and where they can sign their time card. Users can facilitate this by sending the time card for signature through text-to-sign by clicking TEXT or having the team member sign on the user’s device by clicking SIGN.

Scrolling down shows the name of the project and cost codes. This shows the breakdown of the total hours for that time card.

Delete Time Cards

Users can delete a time card from the Timecard Summary page.

1. Click Actions from the Time Card Summary page on the screen's top right.

2. Select Delete from the Time Card Actions menu.

Copy To Workflow

Copy To is a feature that allows users to import data entered on time cards into field forms.

1. Click Actions from the Time Card Summary page on the screen's top right.

2. Select Copy To from the Time Card Actions menu.

3. Select a project from the Recently Selected Project list.

4. Select the field form to copy the time card information.

5. This will pull up the field form with the imported data. A notification will also appear at the top of the page.

6. Users can complete the field form and click SAVE or CHANGE STATUS.

7. The new T&M form will appear under the Forms tab.

Duplicate Time Cards

Users can recreate data and duplicate a time card onto another day using the Duplicate Time Cards feature.

1. Click Actions from the Time Card Summary page on the screen's top right.

2. Select Duplicate from the Time Card Actions menu.

3. Select the New Date using the scroll menu and then click SAVE.

4. Users will be redirected to the new Timecard Summary page for the new time card, where all the data will have been duplicated.

Edit Time Cards

1. Click Actions from the Time Card Summary page on the screen's top right.

2. Select Edit from the Time Card Actions menu.

3. The Edit Time Card page will open. Users can edit Projects, Team Members, Cost Codes, and Start and End dates.

4. Click NEXT.

5. The Time Card page will open. Users can select team members to edit Hours, Shift Extras, and Add Comments.

6. Click UPDATE WORKSHIFT.

7. A confirmation will pop up. To update the work shift, click YES.

8. The user will be redirected back to the Timecard Summary page.
