What are tax documents?
Tax documents are those that validate the transactions and relationships between taxpayers and businesses or merchants. They meet the requirements established by each country's regulatory entities, for example:
Mexico: SAT (Servicio de Administración Tributaria)
Colombia: DIAN (Dirección de Impuestos y Aduanas Nacionales)
Ecuador: SRI (Servicio de Rentas Internas)
Tax documents are the XML files linked to an invoice resulting from a purchase from a business or merchant.
How to create expenses with tax documents?
Creating expenses with tax documents (XML) is available for Colombia, Ecuador, and Mexico. The process is easy and fast; just follow these steps:
From the "Submitter" menu, select “Expenses.”
Drag the tax document in XML format to the Rindegastos window.
Select the Policy to create the expense.
Choose the currency for the expense.
Click “Create Expense.”
A notification will appear: "Tax Document data processing for you."
The screen will show "Uploading file."
The expense will be saved as a draft. Click on the three dots and select “Edit Expense.”
Fill in any missing fields and click “Save Changes.”
That’s it! Your expense has been successfully created from the XML of the invoice.
What information does Rindegastos extract from the XML file?
When you create expenses in Rindegastos with the XML file of your invoices, the system will fill in certain information, depending on your country, such as:
🇲🇽 Mexico: The expense is created, recognizing key data like the supplier, total amount, expense date, and extracting CFDI data such as total amounts, issuer, recipient, taxes, and extras.
🇪🇨 Ecuador: The expense is created, recognizing key data like the supplier, total amount, expense date, and extracting SRI data such as RUC, total amounts, taxes, etc.
🇨🇴 Colombia: The expense is created, recognizing key data like the supplier, total amount, expense date, and will soon extract DIAN data such as NIT, supplier, recipient, taxes, etc.
💡 Tip: When working with Artificial Intelligence and OCR technology, the extracted information is not guaranteed to be 100% accurate. Therefore, we suggest reviewing and completing any missing information in your expenses before submitting them in a Report.
