How to create and send a report?

Here’s a simple guide on how to create and send an Expense Report for approval on Rindegastos’ web platform.

WHAT IS AN EXPENSE REPORT?

An Expense Report is the final step for a Submitter to send its expenses to the review workflow, where they will be approved according to the company's defined policy. The Expense Report can include as many expenses as the company’s policy allows, ensuring an efficient review process.

The purpose of the Expense Report is to group various expenses from a reimbursable fund, petty cash, reimbursement, travel, event, or other categories. This helps keep the review process organized, streamlined, and compliant with the company’s defined policies.

HOW TO CREATE AND SEND A REPORT?

Creating and sending an Expense Report for review is straightforward. Just follow these steps:

  1. From the "Submitter" menu, select “Reports.”

  2. In the top right corner, click on "+ Create Report."

  3. Choose the policy under which you’ll send your new report. It should be the same policy used for the expenses you created earlier.

  4. Create a title for your report and click "Create Report."

  5. Complete the general and custom details of your report.

  6. Select the expenses you want to include in your report. All available expenses created under the same policy will be displayed.

  7. In the top bar, you’ll see how many expenses have errors. You can choose to view these errors and edit them if needed.

  8. Click "Save Changes."

  9. The report will be saved as a draft. In this status, you can edit it and add more expenses if needed.

  10. If everything looks good, click "Submit Report."

  11. Rindegastos will prompt you to confirm the submission to the Approver. You can also view and adjust the current Approval Workflow if needed.

  12. Finally, click "Submit Report."

That’s it! Your Expense Report is now submitted for review.

🧐 Note: Once the Report has been submitted for review, you won’t be able to make any changes to it. If you need to edit it, you’ll need to ask the Approver to send the Report back to you.

Remember, reimbursement times depend on your company.
