How to create reports linking a reimbursable fund or petty cash?

What should you consider when linking expenses to a reimbursable fund or petty cash?

To report a reimbursable fund or petty cash, keep the following in mind:

  • You must have a fund or petty cash assigned either through a request or by the Administrator.

  • Ensure there are available funds if the fund is not flexible.

  • Have expenses created to be linked to the fund.

  • When creating the Expense, select the assigned fund in the Report.

How to create reports linking a reimbursable fund or petty cash?

Creating reports that link assigned reimbursable fund or petty cash on the web platform is easy, just follow these simple steps:

  1. From the “Submitter” menu, select “Reports.

  2. In the upper right corner, click “+ Create Report.

  3. Choose the policy under which you’ll submit your new report; it must be the same as the one used to create your expenses.

  4. Create a title for your report and click “Create Report.”

  5. Select a fund to associate with this report.

  6. Complete the general and custom details for your report.

  7. Select the expenses you want to add to your report. Only those created under the same policy will be shown.

  8. In the top bar, you’ll see how many expenses have errors, and you can choose to view and edit them if necessary.

  9. Click “Save Changes.”

  10. The report will be saved as Draft; in this status, you can edit it and add more expenses if needed.

  11. If everything is correct, click “Submit Report.”

  12. Rindegastos confirm the submission to the Approver. You can also view the current Approval Workflow and change it if necessary.

  13. Finally, click “Submit Report.”

That’s it! You’ve created a Report linked to a fund, and the approved expenses will be deducted from the total fund balance.
