What are review workflows and how do they work?

Here’s a quick and easy explanation of what review workflows are and how they function on Rindegastos’ web platform.

What are review workflows?

review workflows are a designated sequence of users, called "Approvers," who are assigned to review the expenses included in a Report. These workflows ensure that the submitted expenses comply with all company policies for reimbursement, record-keeping, and accounting.

How to select a review workflow?

Review workflows are tied to an expense policy or to a Submitter. Therefore, when you submit a report, you will have the option to modify the review workflow if needed and if a review workflow is assigned to you as a Submitter. The process is very simple; just follow these steps:

  1. In the “Submitter” menu, select “Reports”.

  2. Find the Report in Draft status and click on it.

  3. Click “Submit Report.”

  4. Rindegastos will indicate that the Report will be sent to the review workflow assigned to the policy. By clicking on “View Current Workflow,” you’ll be able to see the Approvers in the process.

  5. By enabling the “Change review workflow” option, you can select a new workflow for this report.

  6. In “review workflow,” choose from one of the workflows created for you as a Submitter.

  7. You will see who will receive the Report.

  8. Finally, click “Submit Report.”

That’s it! It’s that easy to send your reports to the review workflow, either to the one tied to the policy or the one assigned to you as a Submitter.

✏️ Note: If you don’t have an assigned review workflow, you’ll only be able to send your reports to the review workflow linked to the expense policy.
