Here’s what petty cash is and how to easily and quickly request it on Rindegastos’ web platform.

WHAT IS A REIMBURSABLE FUND?

A reimbursable fund is an allocation of money designated for specific expenses. In this fund, a submitter is assigned a certain amount of money to use for work-related travel, business events, client visits, and other activities.

The company pre-determines the fund amount for the specific activity, or you as a Submitter can request an approximate amount to cover the expenses for that activity.

WHAT IS PETTY CASH?

Petty cash is a fund allocated for recurring minor expenses within a company. Its purpose is to ensure there is available cash to cover extraordinary or unexpected daily expenses, and to maintain order and control.

The company determines the petty cash amount, and expenses must be justified with receipts, tickets, invoices, and other documentation, in accordance with the company’s defined policies.

HOW TO REQUEST A REIMBURSABLE FUND OR PETTY CASH

Requesting a reimbursable fund or petty cash on Rindegastos’ web platform is very easy. Just follow these steps:

  1. From the "Submitter" menu, select “Funds.”

  2. Choose "Fund Request."

  3. In the top right corner, click "+ Create Request."

  4. Select the type of fund: "Reimbursable Fund" or "Petty Cash," as appropriate. If you select "Reimbursable Fund," you can choose a policy to fill out custom fields.

  5. Give the fund a name and click "Continue."

  6. Choose the currency for the fund request and the amount you’re requesting.

  7. You can also activate categories as to organize the fund request by categories.

  8. If it's a "Reimbursable Fund" request and you selected a policy, complete the custom fields.

  9. Upload files if needed.

  10. Add a note and click "Save Changes."

  11. The fund will be saved as a draft. You can either edit it or send it through the Approval Workflow by clicking "Submit Request."

  12. Select the workflow for sending the fund request.

  13. Finally, click "Submit Request."

That's it! You’ve quickly and easily made your fund request. Now, just wait for approval in the review workflow.

✏️ Note: If you can’t enter the amount in the currency you're requesting, it means the Administrator has set up category-based amount requests.
