Here’s how to approve and reject expenses from Rindegastos’ web platform.
WHAT TO CONSIDER WHEN APPROVING OR REJECTING EXPENSES
To approve or reject an expense in an Expense Report, you need to have the role of Approver and be part of the review workflow for the Report’s expense policy.
Remember, only the Approver who currently has the Expense Report in their possession can approve or reject expenses. If another Approver in the review workflow has the Report, changes cannot be made.
HOW TO APPROVE AND REJECT EXPENSES INDIVIDUALLY
Approving and/or rejecting expenses individually is simple. Just follow these steps:
From the "Approver" menu, select “Reports.”
In the "To Review" tab, view the list of reports that have come through your review workflow and select the Report you need to review.
Select each expense you want to approve or reject and click to enter the expense details.
Compare the data entered for the expense with the attached document to ensure the information is correct.
If you need to edit the expense, click the pencil icon in the top right corner to make changes and click "Save Changes."
Optionally, you can leave notes or comments in the expense History, which will be visible to both the Submitter and other Approvers.
Use the arrows at the top to navigate to other expenses in the Report.
Approve or reject the expense as appropriate. If the expense has unmet validations, review them to proceed with the process.
After reviewing all expenses in the Report, click "Finalize Review" and leave a comment.
If you are the last Approver, you will need to click "Finalize Report" again.
That’s it! Approving and rejecting expenses one by one is simple.
HOW TO APPROVE EXPENSES IN BULK
To approve expenses in bulk, just follow these steps:
From the "Approver" menu, select “Reports.”
In the "To Review" tab, view the list of reports that have come through your review workflow and select the Report you need to review.
Select all expenses in the Report by clicking the circle next to the titles.
Click the "Approve Expenses" button at the bottom.
After reviewing all expenses in the Report, click "Finalize Review," leave a comment, and click "Submit Report" to pass it to the next Approver.
If you are the last Approver, you will need to click "Finalize Report" again.
That’s it! Approving or rejecting expenses in bulk is very quick.
💡Tip: If the Submitter forgot to include important information or made a mistake, you can return the Report so they can correct it.
