How to create an additional expense field?

Here’s how to easily and quickly create an additional expense field on Rindegastos’ web platform.

What is an expense field?

Expense fields are the sections that Submitters need to fill out when creating their expense, such as document type, document number, cost center, project, among others. This tool allows your company to gather all the necessary information regarding the submitted expenses, ensuring a fast and efficient accounting process later on.

How to create an additional expense field?

  1. From the "Administrator" menu, select “Policies”.

  2. Here, you'll see a list of all the active policies in your company.

  3. Use the filter to find the policy where you want to create additional expense fields.

  4. Click on the policy name to open it.

  5. In "Settings," click on “Expenses.”

  6. At the bottom, you’ll find "Custom Data," click on “+ Add Expense Field.”

  7. Enter the name of the field.

  8. Select the type of field you want to use from the 5 options available:

  • Text: Allows the Submitter to enter simple and concise text.

  • Dropdown: Allows the Submitter to select an option from a pre-configured menu.

  • Date: Allows the Submitter to choose a date from a calendar.

  • Numeric: Allows the Submitter to enter numbers only.

  • Autofill: Allows the Submitter to select an option from a predictive menu that was pre-configured.

  1. If you selected either the Dropdown or Auto-fill field type, you'll need to upload the available options for the user.

  2. In “+ Add Advanced Options,” you can enable the “Hidden Field” (visible only to Approvers) by sliding the button to the right. You can also leave instructions for filling out the field.

  3. Finally, click “Create Field.

That's it! Your additional expense field is created, allowing Submitters to log expenses with the information your company needs.
