How to configure categories and accounting accounts?

Here’s how to quickly and easily configure your categories on Rindegastos’ web platform.

What is a category?

Categories allow us to define the type of expense the Submitter is creating. When the expense is being entered, the user will select the category that best fits. Common categories include meals, app-based transportation (Uber, Didi, Cabify), tolls, among others.

What is an accounting account used for?

Accounting accounts help companies keep track of money transactions. For this reason, we recommend linking each category to an accounting account, which will later enable proper integration into the accounting process.

How to configure categories and accounting accounts?

Creating categories and assigning accounting accounts is a simple process. Just follow these steps:

  1. From the "Administrator" menu, select “Policies.”

  2. Here you will see a list of all the active policies of your company.

  3. Use the filter to search for the policy in which you want to create categories and accounting accounts.

  4. Click on the policy name to open it.

  5. In "Settings," choose "Categories."

  6. Click on "+ Add Categories."

  7. Enter the field name.

  8. Assign an accounting account. This is optional, but we recommend assigning one for integration with accounting.

  9. In the “optional fields,” you can select "Create a group for this category," assigning a name and code (optional).

  10. In “Instructions,” you can leave a brief note or comment regarding the category selection. This information will be visible to the Submitter and is optional.

  11. Finally, remember to save your changes.

That's it! In just a few clicks, you can create your categories and link the accounting accounts.

💡 Tip: If your company has many expense policies, once you have configured the expense categories in one policy, you can replicate the setup to the rest of the policies using the "Replicate Setup" tool located in the options menu at the top right of the screen.
