How to create export templates?

Here’s how to set up an export template on Rindegastos’ web platform.

HOW TO CREATE AN EXPORT TEMPLATE

Creating an export template in your preferred format is easy; just follow these steps:

  1. From the “Administrator” menu, select “Templates.”

  2. In the top right corner, click “+ Create Template.”

  3. Choose the template type: PDF or Excel.

  4. Enter the template name and click “Create Template.”

  5. On the right, you'll see a preview of the columns in the template.

  6. On the left, you can add more columns by selecting fields from “Expenses” or “Reports” and clicking “Add New Column.”

  7. You can also create a column with a formula.

  8. Scroll down to view the columns currently in the template.

That’s it! Your template is ready for exporting the data you need to analyze.

HOW TO EDIT A TEMPLATE

If you need to adjust the structure of a template, the process is simple. Follow these steps:

  1. From the “Administrator” menu, select “Templates.”

  2. Here, you’ll find all the templates you’ve created.

  3. Use the filter to search for your template by format, name, or creation date, among other criteria.

  4. Click the three dots on the right and select “Edit Template.”

  5. You can add columns, create columns with formulas, or delete columns. As you make changes, the template will update automatically.

That’s it! Your template now has the modifications needed for exporting information.

HOW TO DELETE A TEMPLATE

If you need to remove templates that are no longer needed or were created by mistake, the process is quick and easy. Just follow these steps:

  1. From the “Administrator” menu, select “Templates.”

  2. Here, you’ll see all the templates you’ve created.

  3. Use the filter to search for the template by format, name, or creation date, among other criteria.

  4. On the right, click the three dots and select “Delete Template.”

  5. Finally, confirm by clicking “Delete Template.”

That’s it! The template will be completely removed from the platform.

✏️ Note:

  • PDF templates can only be used in Expense Reports by users with the Submitter or Approver roles.

  • Excel templates can be used from the Data Export functionality by users with the Administrator role or from a specific report by users with the Submitter or Approver roles.
