Here's how you can create an expense in the mobile app using the Code Reader tool.
Our goal is to make it easy and quick for Rindegastos users to submit their expenses from anywhere in the world. That’s why the Rindegastos mobile app includes a “Code Reader” tool for electronic documents, which automatically fills in your expense information, so you don’t have to enter the main information manually.
To start creating a New Expense, you need to follow these steps:
Once you've logged in, to create an Expense, go to the first icon labeled "Expenses" at the bottom right of the screen, and tap the blue button with the “+” symbol.
You'll see several options for starting your Expense Report. Among the available options, tap the green button with a QR code 👾 labeled "Scan code." This will open a new tab to create the expense using the Code Reader. This option is available in Chile and Peru.
When you use the Code Reader, your phone's camera will open immediately. Position the camera over the electronic receipt stamp you want to register. The code will be detected, and the information will be scanned to complete the expense.
Once the code is detected, a new tab will open where you'll need to select the Policy under which you will submit the Expense Report. Then, tap the "Continue" button.
Then, choose whether you want to upload a photo of the document saved in your Gallery or take a new photo of your receipt or invoice to save it as proof of the expense created.
Finally, you can confirm the information that was automatically filled in and edit any fields that still need to be completed.
The code reader can detect the following types of codes:
Chile: Electronic stamp from the S.I.I. on electronic documents (PDF417).
Peru: Stamp on electronic documents (QR and PDF417).
The data that the Code Reader will extract for each case are as follows:
Chile: Business name, currency, total amount, document number, document type, and Tax Identification Number [RUT].
Peru: Business name, Tax Identification Number [RUC], date, total amount, currency, document type, document number, and business status in SUNAT.
The code reader can greatly speed up the Expense Reporting process. Here are some tips to ensure this tool works well:
Type of code: Make sure to point at the correct code. Remember, our reader is compatible with QR codes or PDF417. Barcodes will not be recognized by our reader.
Focus: It’s important to focus on the code properly so the reader can scan it more easily.
Keep your device steady: This will help maintain focus and allow for a quick scan.
Clean code: Ensure the code is free of scratches, wrinkles, or discoloration to ensure it is captured correctly.
Good lighting and distance: To achieve focus, try different distances by moving your phone closer or farther away, and make sure you are in a well-lit area so the code can be read without issues.
✏️Note: Remember, this is just the first step in creating an Expense Report. Once you’ve created all your expenses, you’ll need to compile them into an Expense Report and submit it for review.
