What are tax documents?
Tax documents support operations and relationships between taxpayers and companies or businesses. They comply with the regulations of each country’s tax authority, for example:
Mexico SAT (Tax Administration Service - Servicio de Administración Tributaria)
Colombia DIAN (National Directorate of Taxes and Customs - Dirección de Impuestos y Aduanas Nacionales)
Ecuador SRI (Internal Revenue Service - Servicio de Rentas Internas)
Peru SUNAT (National Superintendency of Customs and Tax Administration - Superintendencia Nacional de Aduanas y de Administración Tributaria)
The tax document is the XML file tied to an invoice from a purchase.
How do I create expenses using XML tax documents?
Creating expenses using XML is available in Colombia, Ecuador, Peru, and Mexico. The process is quick and easy:
In the App, under the Submitter profile, select “Expenses.”
Press the blue “+” button at the bottom right and select the shield icon “Tax (XML)”.
Select the policy under which you'll create the new expense.
Make sure you have the XML file on your phone and press Upload XML to upload it.
Fill in the required custom fields, like “Category”, “Cost Center”, etc., as defined by your company.
Once you’ve entered all the required data, tap “Save Changes.”
The expense will be saved as a draft, so you can edit it later or add it to an expense report.
What information does Rindegastos extract from the XML?
When you create expenses in Rindegastos with the XML file of your invoices, the system will fill in certain information, depending on your country, such as:
🇲🇽 Mexico: The expense is created, recognizing key data like the supplier, total amount, expense date, and extracts CFDI data such as total amounts, issuer, recipient, taxes, and extras.
🇪🇨 Ecuador: The expense is created, recognizing key data like the supplier, total amount, expense date, and extracts SRI data such as RUC, total amounts, taxes, etc.
🇨🇴 Colombia: The expense is created, recognizing key data like the supplier, total amount, expense date, and will soon extract DIAN data such as NIT, supplier, recipient, taxes, etc.
💡 Tip: Always review and complete any missing information before submitting your expenses in a report.
