What does it mean if my expense has unmet validations?

What is a validation?

A validation is a rule set by your company’s expense policy. It ensures that each expense created includes the minimum required information and meets certain conditions. Validations help by automatically suggesting that the person creating the expense review it before it’s sent for approval, preventing errors during the review process. They also prompt the person approving the expense to review it and decide whether to approve or reject it.

Types of validation

  • Restrictive: A restrictive validation won’t allow you to submit the expense to the review workflow until you correct the information predefined by the company. As a result, expenses with restrictive errors—mandatory information needed to submit an expense in a report—won’t reach the Approvers.

  • Non-Restrictive: A non-restrictive validation is used as an alert for the expense to be reviewed. However, expenses with non-restrictive validations can still be submitted in a report for the review flow and it’s up to the Approver to decide if whether to approve or reject the expense, depending on their judgement regarding the non-restrictive validation that wasn’t met.

How to identify unmet validations?

Identifying unmet validations is very simple, just follow these steps:

  1. From the "Submitter" menu, select the "Expenses" option.

  2. Find the expense in "Draft" status with a yellow exclamation mark and click on it.

  3. When you open the expense, you’ll see an alert at the top: yellow for non-restrictive or red for restrictive.

  4. Click on "View Details" to see exactly which validation wasn’t met.

  5. Finally, click "Edit Expense" and complete or correct the information.
