What are similar expenses?
Similar expenses are those that share a certain degree of similarity with others that have already been created and submitted in a report in the Rindegastos database. The "Similar Expenses" tool, through the use of a duplication algorithm, can identify expenses that may be reported more than once or that might be fraudulent. It does this by comparing a specific expense against the entire set of expenses submitted within a company, analyzing the various fields that make up an expense to look for similarities.
What attributes are used to compare expense similarity?
The main attributes used by this tool to compare the similarity between two expenses are:
Expense date (exact match)
Total amount (exact match)
Currency (exact match)
Vendor (similarity)
Category (similarity)
Other fields (similarity)
How does Rindegastos review similar expenses?
It is important to know that the similar expenses algorithm, only reviews expenses that are: approved, rejected, or in process, as follows:
When an expense is created, Rindegastos will initially compare it against the entire company’s expense database based on the attributes that require an exact match (date, total amount, and currency)
From the expenses found in this initial search, Rindegastos will analyze the remaining fields, assigning a similarity percentage to each one.
Based on the similarity percentage of the remaining fields, Rindegastos will calculate the total similarity percentage between the two expenses. If this exceeds the allowed threshold, the Submitter will be notified with an alert.
If the Submitter decides to include this expense in an expense report, Rindegastos will notify all individuals in the approval workflow that there is an expense with significant similarity alerts.
